The New Patient Coordinator is a vital part of the Talking Tadpoles administrative team and is the first point of contact for our families and physicians who partner with TT, as it relates to processes for customer service, intake & referral management, and new patient scheduling. The New Patient Coordinator is highly organized, customer/client-focused, self-motivated, reliable and has a keen attention to detail, excellent time management skills, exceptional interpersonal skills, and is able to adapt to new processes quickly. This role requires, daily, a mix of high-quality personal engagement with families and other team members on the phone, in person, and through email. The New Patient Coordinator serves as a patient/family care advocate for the practice and reports to the New Patient Coordinator Lead and Junior Lead, and in their absence, the Operations Director. Daily Responsibilities: Fluent in Spanish Operate standard office equipment, such as computer, copier, phone and virtual fax Establish and maintain patient records in hard-copy and electronic formats Keep information confidential in accordance with HIPAA Use exceptional written and verbal communication with physician offices, families and clients of Talking Tadpoles via phone, text, email or in person Support therapists in maximizing their schedules and accommodating families' changing needs and availability Coordinate patient referrals from physician practices Perform all tasks associated with new patients, including initiating or making first contact, completing basic demographic information, collecting intake paperwork in a timely manner, and coordinating information between families, therapists, physicians and other departments as needed as part of the intake and authorization process Communicate with and provide timely information with other team members in the billing department or therapy department Detail oriented and a passion for assisting families Ability to quickly build meaningful connections with people and deliver a high-quality customer-centric experience Ability to independently task in a fast-paced environment Thrives when working as part of a team and independently. Comfortable with a significant amount of time spent engaging with clients and physician offices on the phone and email Serve as liaison for parent/caregiver(s) between all departments (clinical, administrative, billing, etc.) at Talking Tadpoles. Manages multiple provider schedules in company EMR Represent the clinic in the community in a professional manner Hours: 8:00 am to 5:30 pm Monday - Thursday (unpaid 30-minute lunch), and Friday 8:00 am - 12:00 pm Pay: $16.50/hour Note: If selected for an interview, it will be in-person on January 20, 2026
