Our esteemed client in Fairfax County, Virginia is seeking a highly organized and detail-oriented Billing Administrator to join there finance team. This role is essential to supporting the financial health of there organization by ensuring accurate and timely billing, maintaining documentation, reconciling data, and collaborating closely with operations, customers, and third-party stakeholders. The ideal candidate will bring strong analytical skills, a high level of accuracy, and the ability to adapt to changing priorities in a fast-paced federal contracting environment.

QUALIFICATIONS:

Required:

  • Bachelor’s degree in Accounting, Finance, Business, or a related field; or equivalent relevant experience.
  • 3+ years of experience in billing, accounts receivable, or administrative finance support.
  • Strong proficiency in Microsoft Excel and familiarity with financial or billing systems.
  • Exceptional attention to detail and accuracy in data entry and reconciliation.
  • Experience in a federal contracting environment or working with government customers.
  • Familiarity with customized, complex invoicing processes.
  • Strong organizational and time management skills.
  • Ability to review data methodically and identify discrepancies.
  • Clear and professional written and verbal communication.
  • Adaptability to changing priorities and a deadline-driven work environment.
  • Customer service-oriented with a proactive mindset.
  • Ability to collaborate with both internal and external stakeholders.

Responsibilities

Billing Analysis & Contract Administration

  • Prepare and generate accurate, customized invoices in compliance with contract terms and applicable regulations.
  • Reconcile timekeeping and payroll data against contract requirements to ensure accurate billing.
  • Identify and help resolve billing discrepancies and documentation issues.
  • Assist in reviewing customer contracts and service authorizations for proper billing setup.
  • Maintain billing records and ensure supporting documentation is complete and audit-ready.
  • Coordinate with internal teams during customer or contract transitions to ensure proper billing processes are implemented.
  • Support price adjustments, retroactive billing, and invoice revisions as needed.

Accounts Receivable & Financial Support

  • Finalize and submit invoices through financial systems and ensure accurate reconciliation of billed and unbilled receivables.
  • Track payment status, follow up on overdue invoices, and support collections efforts.
  • Input and update payment and financial data in internal systems.
  • Assist with monthly reporting, variance analysis, and data validation to support financial reviews.
  • Participate in ad hoc projects related to financial systems, process improvements, or billing audits.
