Be the first voice clients hear, and the one they trust. We’re looking for a warm, professional, and detail-oriented Billing Assistant & Receptionist to serve as the first point of contact for our clients. This isn’t just a front-desk role; it’s the heartbeat of our client experience. You’ll handle calls, greet customers, manage payments, and support billing and bookkeeping, all while maintaining a polished, friendly, and professional tone. What You’ll Do Be the voice of the company: Answer and route incoming calls with warmth and efficiency. Deliver excellent first-line service: Greet customers via phone and email, solving small problems before they become big ones. Handle billing inquiries: Process payments, issue invoices, and keep transaction records accurate and up to date. Support finance operations: Assist with Accounts Payable (AP) and Accounts Receivable (AR) tasks as needed. Track communication: Log all client interactions and maintain accurate records. Work with QuickBooks: Create, send, and follow up on invoices; help resolve payment discrepancies. Keep things moving: Support the billing team with light bookkeeping and general admin tasks. What You Bring Prior experience as a Receptionist, Billing Assistant, or Administrative Support Specialist. Working knowledge of invoicing and payment processing (required). Familiarity with QuickBooks or similar accounting software (a plus). Understanding of Accounts Payable and Receivable processes. Tech-savvy and adaptable — able to learn new tools and systems quickly. Clear, professional communication skills — friendly, patient, and composed on every call. Organized, dependable, and detail-oriented with strong follow-through. Experience in the technology industry is a plus.
