Our firm is growing, and we are looking for an experienced Billing Specialist/Administrative Coordinator to join our team! This role is a fully remote position that oversees and manages all client billing for the Firm, in addition to overseeing administrative functions.
You’ll work remotely but stay connected to our team through regular check-ins and project collaboration.

$18,000Responsibilities:

  • Oversees the billing process for all the Firm’s clients.
  • Coordinates with Case Specialist to ensure that all flat fee payments for Marchman Act and Guardianship are collected upfront prior to commencing any work on the case. Records the flat fee amounts collected in Clio for uniform reporting.
  • Coordinates with Legal Team at the Firm on invoicing and bill collection if casework extends beyond the original flat fee amount. Sends the evergreen retainer request and collects the evergreen retainer amount before additional work can be completed.
  • Works with clients to update their account for billing purposes, including maintaining a credit card on file for retainer replenishment.
  • Ensures that all client accounts are up to date on funding and follows up with any clients with outstanding balances.
  • Works with clients who are paying with a form of payment besides a credit card to ensure their retainer balance is constantly replenished according to the terms of the engagement letter.
  • Provides support and answers any general questions from clients on their invoice (note, this position is not to provide legal consultation or advice on services).
  • Informs the Director of Operations of any client billing issues, inconsistencies, or accounts receivable that are more than 30 days old.
  • Updates client records with information related to the firm’s family support groups program, including session attendance, notes, and assigned facilitator information.

Qualifications:

  • 1-2 years of experience working at a Law Firm.
  • Must be customer service-oriented and able to handle client concerns, issues, or questions.
  • Knowledge of basic billing practices and how to create and send invoices.
  • Be able to work in a collaborative team environment where input and collaboration are required to complete the daily tasks.
  • Experience with Clio Billing is preferred.
