Description GENERAL SUMMARY OF DUTIES: The Biologics Coordinator position requires the talents of someone able to think critically, communicate clearly, manage complex treatment pathways, and multitask daily. This position requires an experienced individual able to coordinate biologic therapies, evaluate opportunities for process improvement, support clinical and administrative staff, educate patients, and adapt to the evolving landscape of specialty pharmaceuticals and healthcare regulations. The Biologics Coordinator works closely with physicians, clinical staff, Office Manager, Director of Operations, Administration, and Business Services to ensure timely access to biologic medications, optimize patient outcomes, and provide an exceptional patient experience. SUPERVISION RECEIVED: Reports to the assigned Manager or physician SUPERVISION EXERCISED: None ROLES AND RESPONSIBILITIES: GENERAL Manages daily operations related to biologic therapies within the dermatology practice. Demonstrates a positive, professional, and patient=centered attitude to patients, personnel, and physicians. Administers biologics-related policies and procedures in a timely manner and in alignment with Piedmont HealthCare’s mission, vision, and values. Assists in developing, implementing, and evaluating biologics workflows, protocols, and treatment pathways. Identifies barriers to medication access and collaborates with leadership to implement solutions. Investigates and resolves patient or payer-related issues regarding biologic therapies, informing the Office Manager, Physician, Director of Operations of unusual problems. PATIENT CARE Works with physicians and staff to ensure optimal patient experience throughout the biologic treatment process. Educates patients on biologic medications, including indications, administration, storage, side effects, and ongoing monitoring requirements. Coordinates biologic initiation, continuation, and renewal processes to ensure timely access to therapy. Serves as a primary point of contact for patients regarding biologic treatment questions and concerns. Monitors patient compliance, follow-up appointments, laboratory requirements, and prior authorization renewal timelines. STAFFING Collaborates with physicians, clinical staff, and administrative staff to support biologics-related workflows. Coordinates with Office Manager, Human Resources, and Director of Operations for training and education related to biologic therapies and specialty medications. Enhances staff knowledge and confidences through ongoing education, updates, and process improvements. Supports employee development and office growth through corporate in-services, training sessions, and approved seminars related to biologic therapies. Possesses the skills to perform biologics coordination functions independently and assist with clinical or administrative duties as needed to ensure continuity of patient care. Ensures appropriate cross-training of staff to support biologics coordination during absences or fluctuations in patient volume. COMMUNITY/MARKETING Works with the Office Manager and Administration to identify patient education and outreach opportunities related to biologic therapies and dermatologic conditions. FACILITY Responsible for inventory management related to biologic medications, injection supplies, and supporting clinical materials as applicable. Maintains accurate documentation and storage practices for biologic mediations in compliance with manufacturer, regulatory, and safety requirements. Consults with the Office Manager, Director of Operations, or appropriate advisors regarding equipment, refrigeration, and storage requirements for biologics. Adheres to all OSHA standards, safety protocols, and infection control guidelines. PRACTICE ADMINISTRATION Implements Piedmont HealthCare policies and procedures related to biologic therapies and specialty pharmacy coordination. Coordinates prior authorizations, appeals, peer-to-peer reviews, and insurance verification for biologic medications. Works closely with specialty pharmacies, insurance carriers, patient assistance programs, and pharmaceuticals representatives. Maintains accurate documentation within the electronic medial record related to biologic therapies. Serves as a liaison between physicians, Office Manager, Administration, Business Services, and external vendors to ensure consistent biologic processes. Prepare reports, tracking logs, and metrics related to biologic utilization, denials, approvals, and renewals as requested. Maintains the strictest confidentiality in all aspects of work, including patient and personnel information. Participates in professional development activities to remain current with dermatology biologics, payer requirements, and healthcare trends. Responsible for ensuring the highest level of customer service throughout the biologics coordination process. Adheres to Corporate Compliance and HIPAA guidelines established by Piedmont HealthCare. COMMUNICATION Communicate regularly with physicians, Office Manager, and Administration regarding biologic therapy status, challenges, and outcomes. Requires 80% attendance of required meetings and participates in committees as requested. Collaborates with peers to foster teamwork throughout Piedmont HealthCare. Participates in appropriate departmental meeting and committees. Requirements EDUCATION High School diploma or GED required; associates degree preferred Certified Medical Assistant, Licensed Practical Nurse, Registered Nurse, or equivalent clinical certification preferred In exchange for associate degree, 1-2 years of medical office or specialty medication experience
