SCHEDULES: Monday- Friday 8am-4pm Essential Job Functions: Primary Responsibilities – Approximately 80% - 100% of time spent on: • Enters alpha-numeric data from RO into computer efficiently and accurately. This includes; recording information from vehicle; understanding and deciphering mechanic’s documentation of service / repairs; making necessary corrections to content and grammar, if needed; and determining that the necessary parts are listed and costed properly. Follow-up for clarification, as needed. • Compares entered data to source documents, deleting incorrectly entered data and reenters correct data • May clarify and verify accuracy of data to be entered • Create, lock and email invoices. • Use office machines to fax, scan and copy documents • Follow up on customer inquiries around invoice or account information • Enter, verify, submit invoice into customer portals as needed • Performs other duties as needed and/or assigned Secondary Res possibilities– 20% or less of time spent on an as needed basis may: • Provide back-up to other Truck Shop personnel • Estimate Trailer Shop jobs for customers • Answer phones and follow up on customer inquiries / needs; directing call to appropriate person when needed • Occasionally provide guidance to mechanics, if needed • Handle in-person customer inquiries providing excellent customer service Requirements Qualifications: • Great organization and follow through skills • Excellent attention to detail • Ability to navigate multiple computer systems, applications, and utilize search tools to find information • Ability to follow specific guidelines • Strong alpha-numeric data entry skills; ability to type 60 – 80 words per minute • Solid problem-solving skills and ability to make well informed decisions • Ability to work effectively under direct supervision and follow specific guidelines • Strong Customer Service • Excellent communication skills both verbally and in writing including strong interpersonal communication skills • Understanding of engines and repairs needed Skills: • Reading Comprehension - Understanding written sentences and paragraphs in work related documents. • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. • Speaking - Talking to others to convey information effectively. • Writing - Communicating effectively in writing as appropriate for the needs of the audience. • Critical Thinking - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. • Time Management - Managing one's own time and the time of others.
