CHANCELLOR’S OFFICE STATEMENT

Join our team at the California State University, Office of the Chancellor, and make a difference in providing access to higher education. We are currently seeking experienced candidates for the position of Board Relations Specialist. The CSU Chancellor’s Office, located on the waterfront adjacent to the Aquarium of the Pacific in downtown Long Beach, is the headquarters for the nation’s largest and most diverse system of higher education. POSITION INFORMATION

The California State University, Office of the Chancellor, is seeking a Board Relations Specialist to foster an atmosphere of student learning, leadership support, and collaboration for governing members and executive officers. As an association with a 23-person board and monthly governing meetings, this position will support CSSA’s governance structure by assisting with the development of plenary agendas, developing minutes, and coordinating calendars. This position will coordinate meeting logistics for all in person and virtual plenaries and work with campus hosts on event planning. This position will help with the development and coordination of orientation and training programs that support student development in alignment with CSSA’s mission and policy agenda. This position will work with the Board Chair to ensure smooth board and committee meetings and coordinate relevant leadership development opportunities for governing members. This position will ensure organizational compliance of Gloria Romero Open Meetings Act, parliamentary procedures, and association policies and practices.

QUALIFICATIONS

This position requires:

  • Bachelor’s degree and/or equivalent training and administrative work experience in Higher Education required. Master’s degree in Higher Education Administration, Student Development in Higher Education, Counseling, Public Policy/Administration, or related field preferred.
  • Three to five years of professional work experience in higher education student affairs, education policy and/or advocacy, or government.
  • Ability to work effectively with a wide range of higher education stakeholders in a politically charged environment.
  • Ability to research, analyze, and interpret higher education policy and initiatives.
  • Experience working directly with college students in a governance or extracurricular context.
  • Strong experience in advocacy and policy development in educational settings.
  • Experience managing large-scale projects simultaneously.
  • Experience with evaluation and assessment in educational settings.
  • Ability to organize and accomplish work independently.
  • Strong proficiency in all areas of communication: oral, written, and interpersonal
  • Knowledge of various student issues and priorities in higher education, and the ability to respond to customer service inquiries of the general public, students at-large, and stakeholders.
  • Knowledge of higher education issues and California State University policy issues.
  • Demonstrated collaborative leadership and ability to coordinate multiple stakeholder group messaging.
  • High level of integrity, trustworthiness, respect, attention to detail, ability to research options, make sound decisions, and handle sensitive issues with highly visible projects.

Responsibilities

Under the general direction of the Executive Director, the Board Relations Specialist will perform duties as outlined below:

Board Governance:

  • Supports the development of governance meeting materials, facilitates meting preparations, and leads logistical coordination.
  • Prepares, transcribes, and posts minutes and meeting notes as needed.
  • Plan and maintain CSSA Board of Directors and Committee meeting schedules and assist with the development of agendas ensuring compliance with Association policies and state laws.
  • Develop and maintain governing member authorization forms, board rosters and committee rosters.
  • Serve as the primary point of contact regarding issues related to CSSA plenary meetings and governing membership.
  • Formats all meeting agendas, comprehensive minutes, and other relevant governance documents public dissemination.
  • Advise the Board Chair in the development of plenary schedules.
  • Help facilitate the Board of Directors and committee trainings in relation to parliamentary procedures.
  • Advise the Board of Directors and Committees as the parliamentarian and recording secretary.
  • Advise the Board of directors and committee members on the compliance of open meeting laws and organizational policies and procedures.

Student Development:

  • Research and recommend to the Executive Director training programs that support student development.
  • In collaboration with the Executive Director, help identify, recommend, and coordinate leadership development programs and training to improve officer and governing member engagement.
  • In collaboration with the CSSA leadership team, assist with the development and delivery of programs that align with CSSA goals.
  • Under general supervision of the Executive Director, develop desired student learning outcomes to enhance student and professional development.
  • Create, plan, and implement activities and programs that support the personal and professional development of CSSA student leaders.
  • Utilize data-driven methods to assess the effectiveness of leadership development programs and provide actionable recommendations for improvement.
  • Lead the programmatic and event coordination of the end of year recognition ceremony.

Association Records and Archives:

  • Maintain the association’s paper and electronic filing system/database for the proper filing of document and forms in accordance with the Association’s and CSU retention policy.
  • Ensure the proper records and historical documents are archived appropriately.
  • Work collaboratively with the Communications Specialist to ensure website posting of relevant historical documents such as agendas, minutes, resolutions, legislative positions, association leadership, and awardees.

Communications:

  • Keep student leaders apprised of professional development and scholarship opportunities.
  • Regularly attend CSU AOA Advisor sub-committee meetings to improve communication with Associated Students, Inc. partners.
  • Author and distribute CSSA plenary and conference registration to ASI staff counterparts.
  • Coordinate communications programming with communications and marketing specialist including creating, planning, and scheduling social media postings.

Other Duties as Assigned:

  • Other duties as assigned, including supporting department administrative staff and assist with special projects, as needed.
