Responsibilities
  • Reporting to the Operations Manager daily to check of the delivery schedule and case that has been assigned to.
  • Verifying that goods delivered are as per customer’s specified requirements on-board the vessel against a checklist (D/O).
  • Verifying that goods delivered on various transportation modes (i.e. trucks and boats) to the final destination of the vessel are properly accounted through the W6 form.
  • Driving delivery vehicles when schedules and skills permit so.
  • Ensure that the handling of the goods does not compromise quality especially during transfer (from truck to supply boat or truck to vessel or supply boat to vessel) when present.
  • Supervising labourers and subcontractors during the loading and unloading of goods on board supply boat and vessels and ensuring the proper handling of goods are maintained at all times.
  • Attending and resolving any problems, requests and issues raised by vessel’s Master or Officers. In the event of an issue, the Boarding Officer will commence mobile communication with the operations, warehouse, sales and purchasing departments on an instant messaging platform (i.e. WhatsApp).
  • Verifying with the vessel’s Master or Officers that certificates for products (if any) has been received and contact purchasers if there is a discrepancy.
  • Creating a WhatsApp group chat consisting of the relevant stakeholders (Operations, Sales, Purchasers and Owner’s Goods) to ensure timely and accurate information flows both ways.
  • Within 24 hours (target) of delivery, the boarding must submit the following:B1 (Vessel Summary Report Form)B5 (Goods Returned/Missing Form), if any Off landed Ship’s Spares and Authorisation Form (B4), if any Invoices and/or Delivery Order (Chopped & Signed) Permits, if any Physical returned products and sample (if feasible) Cash, if any.
  • Taking full ownership of the B1 – Vessel Summary Report form and getting various information from the sales and purchase in-charge of the vessel before arriving at the vessel.
  • Fill up the HACCP (3 fields) accordingly in B1 – Vessel Summary Report form. The 3 fields are: Bins Dispatch Time from Warehouse / Arrrival Time of Bins at vessel / Extra Dry-ice dispatched required Y/N fields. These 3 fields must be completed for any deliveries which have cold stores supplied.
  • Performing the role of a public relations representative for the company. Boarding officer should be dressed appropriately and in a Wrist shirt/polo-shirt at all times. He/she should maintain their Personal Protection Equipment (PPE) and adhere strictly to all safety and hygiene standards.
