Responsibilities

ABOUT THE ROLE

We’re looking for a Booking Specialist who brings heart, energy, and hustle to the table. This isn’t just about filling appointment slots—it’s about being the warm, welcoming first step in someone’s journey at Mood Health. You’ll help patients by pairing them with the right provider, guiding them through the process with empathy, and making it all feel seamless.
You’ll work to meet booking targets, keep schedules flowing smoothly, build trust, solve problems, and be the friendly voice that helps someone say, “Yes, I’m ready to start care.”

WHAT YOU’LL DO

  • Connect & Care: Be the first point of contact for patients, greeting them with compassion and confidence while helping them match with the right provider.
  • Guide the Journey: Support clients through intake and onboarding by reviewing needs, insurance, scheduling availability—making the process easy and smooth.
  • Communicate Clearly: Answer patient questions with empathy via phone, text, and email while making sure they know what to expect every step of the way.
  • Maximize Access: Manage cancellations, reschedules, and follow-ups to ensure patients don’t miss out on the care they need and deserve.
  • Keep Things Organized: Maintain accurate, confidential records (HIPAA compliance is non-negotiable).
  • Collaborate and Celebrate: Work with cross-functional teams, share patient feedback and insights that help improve the whole care experience, and celebrate wins as a team when goals are met.
  • Meet & Exceed Goals: Hit booking targets—not just for the numbers, but because every booked appointment represents someone getting the help they need.
