Job summary We are seeking a highly organized and detail-oriented Bookkeeper an Administrative Assistant to join our team. In this role, you will manage day- to-day financial operations, serve as a primary contact for our clients, and provide essential administrative support to our accounting team. The ideal candidate has strong bookkeeping skills, excellent communication abilities, and a proactive approach to managing tasks. Key responsibilities: Bookkeeping and financial tasks: Manage and maintain accurate financial records, including accounts payable, accounts receivable, and payroll. Process and record daily financial transactions, including receipts, invoices, and payments. Perform bank and credit card reconciliations monthly to ensure accuracy and resolve discrepancies. Collaborate with the accountants to prepare financial reports, including profit and loss statements and balance sheets. Assist with month-end and year-end closing procedures. Ensure compliance with financial regulations and maintain organized financial documentation for audits. Client and administrative support: Serve as the main point of contact for clients, managing all incoming calls and email inquiries. Schedule and confirm client appointments, manage the accountants' calendars, and coordinate meeting logistics. Handle billing inquiries and collect outstanding payments from clients in a professional and courteous manner. Prepare and send communications, reports, and other documents to clients. Maintain accurate and organized client files, both physical and digital. Manage general office duties such as ordering supplies and responding to administrative requests. Qualifications and skills Proven experience in a similar bookkeeping or accounting administrative role. Strong proficiency with accounting software (e.g., QuickBooks Online, Xero) and Microsoft Excel. Exceptional organizational skills and meticulous attention to detail. Strong written and verbal communication skills. Excellent customer service and interpersonal skills. A high degree of discretion and ability to maintain confidentiality. Self-motivated and able to manage multiple tasks and deadlines efficiently. Preferred: Associate or bachelor's degree in Accounting, Finance, or a related field. Experience in a client-facing role at an accounting firm.
