OVERVIEW

We are seeking a detail-oriented and organized Administrative Assistant to support our team in various administrative and accounting functions. The ideal candidate will possess a strong understanding of accounting principles and be proficient in various accounting software. This role is crucial in ensuring the smooth operation of our office, maintaining accurate financial records, and providing essential support to our management team.

REQUIREMENTS

  • Proficiency in accounting software (QuickBooks, Quicken, Sage, Xero) is preferred.
  • Strong understanding of corporate accounting principles, including non-profit accounting experience is a plus.
  • Familiarity with financial concepts such as double entry bookkeeping, debits & credits, and bank reconciliation.
  • Ability to perform technical accounting tasks including account analysis and budgeting.
  • Experience with 10 key typing for efficient data entry is essential.
  • Excellent organizational skills with attention to detail to ensure accuracy in financial reporting.
  • Strong communication skills to effectively collaborate with team members and management.

Responsibilities
  • Manage daily administrative tasks, including scheduling meetings and managing calendars.
  • Assist with bookkeeping duties, including accounts payable and accounts receivable.
  • Perform general ledger accounting and maintain accurate financial records in compliance with GAAP.
  • Prepare journal entries, balance sheet reconciliations, and general ledger reconciliations.
  • Support budgeting processes and assist in financial report writing.
  • Conduct account analysis and ensure accurate account reconciliation.
  • Utilize accounting software such as QuickBooks, Quicken, Sage, Xero, or similar tools for financial management.
  • Process payroll and manage tax-related documentation as needed.
  • Collaborate with team members to ensure timely completion of financial tasks and reporting.
  • Provide support for governmental accounting requirements when applicable.
