JOB SUMMARY:

We’re seeking a flexible and detail-oriented Executive Assistant / Bookkeeper to join our growing team. This is a part-time position based at our modern facility in Beverly, MA (right off Rt. 95/128), with potential to grow into a full-time, permanent role.
The right candidate will have strong bookkeeping experience, proficiency in QuickBooks Online, and the ability to manage a variety of administrative and operational tasks. This is a great opportunity to be part of a close-knit team working on impactful technologies in next-generation sequencing, single-cell research, and drug discovery.

QUALIFICATIONS:

  • 2+ years of bookkeeping experience, ideally in a science, tech, or startup setting
  • Bachelor’s degree or equivalent work experience
  • Proficiency in QuickBooks Online and Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational, problem-solving, and time management skills
  • Excellent written and verbal communication
  • Professional, adaptable, and team-oriented attitude
  • Comfortable working independently and handling confidential information

NICE-TO-HAVE SKILLS:

  • Experience in customer service or office administration
  • Familiarity with shipping platforms or small business operations
  • Interest in or experience with biotech or scientific products
Responsibilities
  • Perform bookkeeping using QuickBooks Online (accounts payable, reconciliations, reporting)
  • Handle accounts receivable, check application, and follow up on collections
  • Process and track customer orders and generate shipping paperwork
  • Maintain accurate financial records and assist with tax filings
  • Generate sales and financial reports
  • Communicate with customers regarding orders and documentation
  • Order office supplies and assist with inventory tracking
  • Support light HR and payroll tasks in coordination with our external partner
  • Assist in planning and organizing internal events or meetings
