Bookkeeper/Accounting
Job Description:
Accounts Payable:
- Code and input account information into the appropriate accounts
- Process cheque runs and ensure dual signatures from authorized officers
- Facilitate online bill payments
- Review and validate invoices from suppliers
Accounts Receivable:
- Generate month-end invoices
- Produce accounts receivable aging reports
- Identify and pursue outstanding accounts via mail/phone
- Rectify customer account discrepancies and ensure secure charge card information
Deposits:
- Post revenue to designated accounts
- Handle cash transactions
- Prepare bank deposits
- Reconcile credit card statements
Cash Flow Management:
- Monitor bank accounts and initiate fund transfers as required
- Record and report on investments
- Handle HST reporting
Payroll:
- Compile bi-weekly payroll for bank upload
- Manage source deduction remittances
- Prepare Record of Employment forms and T4s, ensuring year-end balancing
Financial Operations:
- Issue donation receipts
- Conduct month-end bank reconciliations
- Prepare and post month-end journal entries
- Support fundraising activities and generate reports post events
- Assist with phone inquiries, front counter duties, and staff backup during absences
Financial Reporting:
- Create monthly Financial Statements (Balance Sheet, Statement of Revenue & Expenses)
- Generate program-specific revenue and expense statements
- Analyze monthly statements and report discrepancies
- Assist in creating and updating internal budgets
- Prepare grant-specific budgets
Audit and Compliance:
- Assist in year-end audits, analyzing accounts, and drafting audited financial statements
- Complete CRA Charity Returns
- Maintain and update detailed job processes
- Generate and compile reports for MOH, OHT, LHIN, HNHB, and related entities
Additional Responsibilities:
- Prepare breakdown reports
- Fulfill other financial duties as required
