ORGANIZATION OVERVIEW:

The John Howard Society of York Region (JHSYR) is a nonprofit, charitable organization committed to serving residents of York Region. We support individuals involved in any stage of the criminal justice system, as well as their families, by offering programs that foster rehabilitation, reintegration, and community support.

POSITION OVERVIEW:

The primary responsibility of this role is to ensure the agency meets all financial reporting obligations. This includes overseeing the full accounting cycle for accounts payable and receivable, assisting with monthly bank reconciliations, managing payroll, and performing other general accounting tasks.
As a key member of the administration team, the role also involves supporting all administrative functions of the agency. Additionally, the position requires close collaboration with the management team, demanding a high degree of trust, reliability, and professionalism.

QUALIFICATIONS:

  • Post-secondary education in a relevant field (e.g., Business, Accounting, Administration, or Finance), or an equivalent combination of education and experience.
  • Exceptional relationship-building skills paired with a professional and approachable demeanor.
  • Strong interpersonal abilities, including active listening and empathetic communication skills.
  • Knowledge of the non-profit and charity sector, including its financial aspects, Generally Accepted Accounting Principles (GAAP), and the Canadian Income Tax Act.
  • Proven ability to establish and maintain relationships with community agencies and stakeholders.
  • Excellent organizational and administrative skills, with a keen attention to detail.
  • Proficiency in QuickBooks Desktop or QuickBooks Online, Microsoft Office Suite, and online meeting platforms.
  • Experience working with diverse populations and a strong understanding of systemic barriers and available resources in York Region.
  • Access to a vehicle is preferred.
Responsibilities
  • Respond promptly to all internal and external inquiries related to accounts receivable and accounts payable.
  • Ensure accuracy in the Accounts Payable sub-ledger by acquiring and verifying all accounts payable bills before payments are processed.
  • Communicate with suppliers to address discrepancies in accounts payable bills or to request missing bills. Obtain banking information from new suppliers for electronic funds transfer (EFT) payments.
  • Enter all accounts payable bills into QuickBooks promptly upon receipt.
  • Take primary responsibility for processing weekly payment runs for all suppliers and payees.
  • Collaborate with the administration team to manage access to online supplier accounts.
  • Issue customer invoices on an ad hoc basis and ensure timely payment of outstanding invoices.
  • Assist the Director of Finance, IT, and Administration with monthly bank reconciliations, payroll processing, and posting payroll-related accounts payable transactions. Support the completion of month-end and year-end accounting processes to facilitate the preparation of the agency’s financial statements.
  • Serve as a JHSYR Designated Bingo Ambassador at least once per quarter, contributing to building strong, connected communities and supporting the delivery of essential services.
