This is a remote position. Schedule: Monday to Friday, 9:00 AM – 6:00 PM (1-hour unpaid break) Client Timezone: Eastern Time (Bahamas) Total Weekly Hours: 40 Hours This role blends bookkeeping and operational coordination, managing financials across several entities and supporting large shipping transactions. You’ll handle voyage cost analysis, profit/loss reporting, and full-cycle financial management, working directly with executive leadership in a fast-paced virtual environment. Responsibilities Set up and maintain QuickBooks systems across multiple business entities. Process invoicing for high-value vessel shipments and coordinate booking schedules with clients. Track and analyze voyage costs (fuel, COGS, etc.) for accurate P&L reporting. Manage vendor verification processes and distribute payment instructions to clients. Monitor bank accounts, confirm payment receipts, and ensure smooth cash flow. Maintain detailed AR/AP records across all entities. Perform monthly reconciliation of both business and personal accounts. Execute month-end closings for multiple companies. Provide regular cash flow reporting and financial updates to leadership. Coordinate with internal agents and payment verification. Enforce client payment deadlines to maintain operational efficiency. Requirements Minimum 3 years of professional bookkeeping experience. Advanced QuickBooks proficiency (setup, management, customization). Degree in Accounting or equivalent professional qualification. Experience handling high-value transactions and complex reconciliations. Strong organizational skills, able to manage multiple entities simultaneously. Background in coordinating financial and operational workflows. Solid knowledge of AR/AP processes. Independent, detail-oriented, and efficient in virtual environments.
