Description
We’re looking for a proactive and experienced Branch Administration Team Leader to join our Crown Equipment team in Truganina. You’ll begin with up to 3 months of initial training, both in person at our Mulgrave branch and virtually from Truganina, where you will learn all aspects of our branch administration, including Service, Sales and Rentals, so you are fully equipped to ensure smooth operations and deliver exceptional customer service. Reporting to the Branch Administration Manager, based in Mulgrave, and working closely with the Branch Manager, you’ll lead a small team and drive process improvements at Truganina. Because your direct manager is located off-site, this role demands a high level of autonomy, accountability and confidence in decision-making. What You’ll Do: Lead and mentor the branch administration team, ensuring high performance and compliance. Oversee data entry, invoicing, and job costing accuracy including ensuring supplier invoices are processed and sent to Accounts Payable and weekly Payroll is processed accurately. Manage internal and external customer queries and provide timely, accurate information. Coordinate Forklift relocations, stocktakes, and maintain workshop documentation. Drive continuous improvement initiatives and support cross-training for business continuity. Your day-to-day will include: Reviewing Service Job Cards and ensuring accurate charge rates and GL coding Generating job costings and quotations Completing monthly invoicing on time and with precision Maintaining forklift specifications and processing purchase orders in AS400 and CRM Responding promptly to customer queries and managing shared inbox Providing accurate info on truck history, pricing, and parts availability Coordinating forklift relocations and assisting with stocktake Preparing reports, financial data, and payroll for management Leading and supporting the administration team, ensuring cross-training and compliance Driving continuous improvement and promoting a safe, efficient work environment What We’re Looking For: Minimum 3 years’ experience in administration leadership or similar role. Strong organisational and problem-solving skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office and CRM systems.
