Job Details The Branch Administrator plays a key role in ensuring efficient day‑to‑day operations at the branch, supporting both administrative and operational processes. This role directly supports onboarding, compliance, safety reporting, and documentation workflows for company drivers, independent contractors, and shop personnel. Reporting to the General Manager, the Branch Administrator collaborates closely with Operations, Talent Acquisition and Safety teams to ensure a smooth onboarding and compliance experience. Who You Are Strong administrative and organizational skills. Proficiency with MS Office Suite (Excel, Word, PowerPoint). Excellent customer service orientation. Strong interpersonal, communication, and problem‑solving skills. Ability to prioritize tasks, work under pressure, and meet timelines. High attention to detail and accuracy in documentation. Responsibilities Collect and process all new‑hire paperwork for company drivers, contractors, shop employees, and other branch personnel. Coordinate insurance setup and required contractor documentation. Verify incoming trucks meet required equipment and safety specifications; support with any required setup. Enter, maintain, and update contractor and employee records in ISN and ComplyWorks; monitor customer rating requirements and ensure ongoing compliance. Ensure all required safety certifications, training, and documentation are collected and filed. Compile, update, and distribute branch safety statistics and reporting. Track hazard IDs, incidents, WSOs, certifications, and related documentation. Assist in safety‑related investigations by providing administrative support and maintaining organized records. Plan, schedule, and organize day‑to‑day administrative activities and workflow. Serve as the point of contact for administrative coordination across the team. Ensure the branch maintains an organized, compliant administrative environment aligned with Trimac policies and PPTW initiatives. Qualifications High school diploma or equivalent required; business administration or related post‑secondary education is an asset. 2+ years of administrative experience, preferably in transportation, logistics, or industrial operations. Experience supporting safety, onboarding, or compliance processes is an asset. ISN and ComplyWorks experience is a strong asset (preferred). Experience with TMW, TMT, HRIS/UKG systems is an asset.
