JOB SUMMARY:

Perform a variety of clerical duties for the Permit Department, including issuance of permits, working with contractors, and responding to public inquiries at the counter and on the telephone. Works independently, performing regular and recurring clerical duties according to applicable City ordinances and following established procedures and practices.

EDUCATION AND EXPERIENCE REQUIREMENTS:

High School diploma or GED
Five year experience in clerical work
Working knowledge of data processing and permitting procedures preferred
Some construction experience preferred
Proficient in working with computer and general office equipment
Good oral and written communication skills

SKILL AND ABILITY REQUIREMENTS:

Ability to establish and maintain effective working relationships with the general public, supervisor and co-workers
Neat and professional appearance
Ability to make decisions based on verified criteria
Ability to perform a wide variety of different tasks without causing a loss of efficiency
Works independently

Essential Job Functions :

  • Main phone attendant; provide customer assistance.
  • Administer and maintain current building, electrical, plumbing, HVAC, sign contractors, sign electricians, sign permits, registrations and records and all renewals regarding same.
  • Perform administrative and clerical duties and receive the public regarding questions pertaining to permits, building requirements/restrictions, answer questions regarding ordinance violations, signage requirements/restrictions and any other City regulations or requirements.
  • Compose, type, edit, and maintain a variety of correspondence, reports, documents, etc. and fax, copy as required.
  • Administer and maintain all current residential and commercial files in an efficient well-organized manner.
  • Create new files in a timely manner and keep filing up to date weekly.
  • Review, revise and update all forms and applications as necessary and/or required.
  • Schedule all inspections and maintain a log of inspection requests.
  • Issue Stop Work Orders as necessary/required.
  • Administer and maintain current records for fire inspections and renewals. Send out renewal letters when necessary and follow up.
  • Maintain current records of all pools, spas and irrigation systems throughout the City. Send letters to residents and businesses regarding testing/retesting requirements or for noncompliance.
  • Maintain handouts, maps and forms required for permitting.
  • Provide copies of City maps and flood plain information to customers upon request.
  • Inventory office supplies periodically, order as required or requested and store all materials in their proper place.
  • Straighten/tidy up the common area
  • Receive all incoming mail and sort and distribute mail to addressees as soon as possible after receipt.
  • Log in all miscellaneous checks in receipt book.
  • Additional duties and responsibilities as assigned.
  • Serve as notary for the public.
