POSITION SUMMARY

Reporting directly to the President, the BuildWorks & Executive Support Coordinator plays a critical role in supporting the executive leadership and Board of Directors. This position is responsible for managing complex calendars, coordinating Board meetings, and handling strategic communications and logistics for leadership and special initiatives. The Coordinator also manages the administration of the BuildWorks project database, ensuring projects and amendments are posted accurately and promptly.
This role requires a proactive, organized, and detail-oriented professional who thrives in a fast-paced environment and can handle confidential and time-sensitive information with discretion.

QUALIFICATIONS

  • 5+ years of experience providing high-level executive support or other administrative experience.
  • 3+ years of experience supporting a Board of Directors or acting as Board Secretary is an asset
  • Degree or diploma in Business Administration or a related field is considered an asset.
  • Proven experience working closely with C-suite executives or senior leadership.
  • Demonstrated professionalism, discretion, and sound judgment in managing confidential information.
  • Strong written and verbal communication skills; ability to draft professional correspondence and reports.
  • Highly organized with strong project management, multitasking, and time-management abilities.
  • Advanced proficiency with Microsoft Office 365 (Word, Outlook, Excel, PowerPoint, Teams) and Adobe Acrobat.
  • Experience using CRM systems and comfort learning new platforms.
  • Positive attitude, initiative, and strong interpersonal skills for building relationships across all levels.
