JOB GOAL: To assist the Guidance Director (5-12) and the guidance staff in the smooth and efficient operation of the department and of the school system in general.

Responsibilities
  • Acts as department receptionist and greets all visitors, parents and students
  • Type all letters, memos, and reports for the Director of Guidance
  • Receives and routes telephone calls for the Director and counselors
  • Input all Grade Updates for the Braintree High School
  • Input all Alerts for the Braintree High School
  • Uses Aspen Student Information Management System to accurately track and maintain student information, attendance and academic records.
  • Maintains Guidance Suite
  • Process Transcript Requests and Education Verifications for past and present students
  • Schedule appointments
  • Assist with the organization and planning of the Local Scholarship Program
  • Maintain the guidance job bulletin
  • Place in students’ files all test scores and any other material pertinent to student records
  • Maintain bulletin boards with current information on upcoming events,college visits and scholarship information
  • Maintain a supply of all forms used by Director and counselors.
  • Process mail for the department
  • Maintain files as directed by and for Director of Guidance
  • Prepares list of supplies needed for the Guidance Department
  • Prepares end of year report for the Guidance Department
  • Prepares Purchase Orders for Guidance Department
  • Assists Director with correspondence, materials, setup, and presentationof fall college mini fairs and visits
  • Assist with the Preparation and Organization of AP, PSAT and SAT exams
  • Assists the Director with the Annual Book Award presentations and the Program Booklet for Scholarship Evening
  • Handle all incoming and outgoing mail
  • Oversees students daily in the Guidance Suite and Zen Den
  • Assists the Principal’s Administrative Assistant with new student registrations when needed.
  • Performs other related administrative assistant duties as assigned by the Director of Guidance
