The Business Assistant will manage all administrative work in the unit, including taking care of logistics of conferences held in Israel and abroad, promotion materials, procurement & budgeting, and more. Responsibilities The Business Assistant is in charge of overseeing all unit activities, monitoring activities from A to Z, including keeping files of all activities in accordance with the company’s compliance guidelines, handling payments to suppliers, and more. Works closely with multiple departments in Medison. Integrate and oversee all unit's marketing and medical activities and monitor it with alignment to company's compliance guidelines. Responsible for all administration regarding scientific and marketing events - including lecture and consultancy agreements, venue catering, ordering professional articles etc. Monitoring- Responsible for producing reports and follow up activities from early initiation phase until closing it, payment etc. Make sure all is done according to unit's defined timelines. Raising Flags- constant feedbacks to PM and BUM and raising flags on time. Digital workspace- work with several management software such as Priority, Veeva etc. Provide administrative support to unit employees and back-office service to field employees. Handle administrative & logistic details of conferences in Israel and abroad. Give support with promotional materials and graphics including both designs for conferences. Digital workspace- work with several management software such as Priority, Veeva etc. Handle travel logistics, for both team and HCPs according to compliance guidelines Responsible for all logistics concerning overseas guests (refreshments, meeting room arrangements etc.) Keep contact with suppliers in Israel and abroad Work according to the Medison code of ethics and compliance guidelines Handle and follow-up on the unit’s expenses - invoice budgets, payment transfer and liaison with economists regarding budget transfers. Take part in the coordinators’ working groups and forum Requirements Required education and experience Bachelor's degree. Previous experience in significant administrative position High-level English - Speaking and writing Full control of OFFICE applications Digital orientation – work with various computerized systems Required qualifications Good interpersonal and communication skills Organized Pro-active with creative thinking and problem solving Lateral vision Ability to prioritize and handle multiple tasks in parallel Ability to work independently & in discretion
