Manage coverage of the front desk. Will provide customer service when answering phones, greeting and directing guests and visitors.
Maintaining a database for incoming documents requiring the Dean’s signature
Distributes all incoming and outgoing mail.
This position will also determine the type of A/V support required for events and educational activities, providing support by reserving rooms, submitting facilities and A/V equipment work orders and manage the catering for all meetings/events.
Serve as a shopper on TechBuy for departmental purchasing needs and oversee the Property Management Inventory System by ensuring that all equipment is tagged, verified and confirmed during the annual inventory certification period.
Manage all Unit Safety Officer duties as assigned while working closely with the Department of Safety Services.
Coordinates all travel arrangements and reimbursements for the Office of the Dean.
Incumbent will hold the procurement card and reconcile in a timely manner for purchases on behalf of the Office of the Dean.
Supports the administrative functions and operations for the Dean’s Office.
Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
Personally demonstrate, display and act in accordance with TTUHSC EP’s Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value’s leader while actively promoting and encouraging staff across the institution.
Perform all other duties as assigned.
Required Qualifications
Bachelor’s degree plus two (2) years related experience OR a combination of education and/or progressively responsible related experience to equal six (6) years
Preferred Qualifications
4 to 5 years experience in an institution of higher learning; Job related education may substitute for part of the required experience.
Handles administrative details independently and effectively. Works under the stress of deadlines.
Coordinates work effectively and maintains effective working relationships with employees while exercising a high degree of confidentiality.
Be a self-starter and possess an initiative to acquire knowledge necessary in fulfillment of assigned duties.
Knowledge of state and institutional policies and procedures.
