You will support our Director of Business Development by helping to maintain our CRM  (Client Relationship Management) software and project profiles, coordinating client outreach and events, and ensuring we show up professionally in front of the right clients—every time.     Key Responsibilities * Meet with proposal submitters/partners on a regular basis to review status of outstanding proposals (won, lost, dead, pending). * Maintain and improve our CRM/contact database: data entry, cleanup contact status confirmation, tagging, activity tracking, and basic reporting. * Coordinate lead/opportunity tracking: intake from engineers/PMs, follow-ups, next steps, and deadlines. * Assist with client outreach, appreciation, and meeting coordination (scheduling, agendas, notes, follow-up emails, and action items). * Support industry events and client touchpoints: registrations, logistics, attendee lists, and post-event follow-up. * Track upcoming bid opportunities and company announcements- and flag relevant pursuits. * Provide light administrative support to BD leadership (calendar coordination, document management, and prioritization). * Manage/Track memberships in organizations and yearly dues. * Manage/Track sponsorships and BD expenses for each Market Sector and Service. * Schedule presentations, coordinate lunches, record attendance, and follow-up with firms requesting continuing learning presentations from AHA. * Assist with holiday gift ordering, packaging, and deliveries for clients.   Required Qualifications   * 0–3 years of experience in business development, proposals, marketing coordination, or sales support (A/E/C industry a plus). * Strong writing and editing skills with high attention to detail. * Comfortable working with multiple deadlines  * Proficiency with Microsoft 365 (Word, PowerPoint, Excel, Outlook, Teams/SharePoint) * Professional, proactive communication style—able to collaborate with technical staff and leadership. * Must have reliable transportation and be willing to travel to events in the New England area or occasionally to one of our other offices (GA/PA/VA).   Preferred Qualifications   * Experience in A/E/C (engineering, architecture, construction) or professional services. * Familiarity with CRM and marketing tools (Deltek, HubSpot, Salesforce, Constant Contact, etc.). * Basic understanding of AHA’s service lines (MEP/FP, Technology Design, Energy & Sustainability, Commissioning, BIM/VDC, Advisory Services, and related offerings) — or strong interest in learning quickly. * Graphic/layout comfort in PowerPoint or similar tools; Canva/Adobe experience is a plus.   What Success Looks Like (First 6-12 Months)    * CRM is accurate, current, and is actually used by the team. * BD Director/Engineers/PMs feel supported—pursuit tasks are tracked, and follow-ups don’t slip. * Tracking sheets are consistently updated and easy to find. * Current AHA brand templates are being used for BD correspondence and record-keeping. The expected compensation for this hourly, full time role, including benefits, ranges from $37,440 to $47,840 annually and will be determined based on experience and education.
