Description Summary: Monday to Friday, 8:00 a.m. to 5:00 p.m. The Business Development Administrative Assistant provides administrative and coordination support to the Business Development team. This role focuses on proposal preparation, client and vendor setup, document management, and internal coordination to support sales efforts, bids, and customer relationships. The position works closely with business development leaders, preconstruction, vendors, and internal teams to ensure proposals, contracts, and client documentation are accurate, organized, and submitted on time. The ideal candidate is highly organized, detail-oriented, and comfortable supporting multiple priorities in a fast-paced construction environment. Description: Provide administrative support to the Business Development team, including scheduling, document preparation, and coordination Assist with the preparation, formatting, and submission of proposals, bids, and presentations Maintain proposal logs, bid calendars, and submission deadlines to ensure timely responses Organize and maintain proposal documents, bid packages, and marketing materials in SharePoint and Procore Coordinate internal document collection for proposals, including resumes, project sheets, safety information, and certifications Assist with client and vendor setup and maintain accurate customer records Support customer contract and purchase order documentation and tracking Assist with customer invoicing related to proposal or preconstruction activities as needed Maintain and update client contact lists and internal tracking tools (CRM or SharePoint) Support relationship management activities, including meeting coordination and follow-up documentation Assist with marketing initiatives, including proposal graphics, qualification packages, and project descriptions Coordinate travel and meeting logistics for business development staff as needed Support recruiting and onboarding coordination for business development and project teams Assist with compliance documentation related to bids, prequalification, and safety requirements Perform general administrative and clerical duties and other tasks as assigned • Other duties as assigned. Requirements Qualifications & Requirements: · Strong administrative and organizational skills with attention to detail · Experience supporting sales, business development, or proposal teams preferred · Familiarity with construction or project-based environments is a plus · Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems · Experience with Procore, SharePoint, or CRM systems preferred · Strong written and verbal communication skills · Ability to manage deadlines and coordinate across multiple teams · Ability to handle confidential and sensitive information appropriately Required Education: High school diploma or equivalent Recommended Education: Associate’s or Bachelor’s degree in Business Administration, Construction Management, or a related field Required Work Experience: 1–3 years of administrative, sales support, or business development coordination experience Recommended Work Experience: Experience supporting proposals, bids, or client-facing teams in construction or related industries Required Certifications: None Recommended Certifications: Procore or CRM-related certifications
