Description Summary: The Parish Business Manager supports the Pastor’s administrative responsibilities to the parish, which includes the church and all associated ministries. The Parish Business Manager is a steward of the financial and physical resources of the parish and has fiduciary responsibility for all areas. In collaboration with the Pastoral Advisory Committees/Councils, the Parish Finance Council, and other parish committees/organizations, the Parish Business Manager ensures parish business practices align with the mission, vision and core Values of the parish. Development and implementation of the parish strategic plan is an integral part of this position’s responsibility. Requirements Position Responsibilities: Office Administration Responsible for management of the parish’s financial resources Maintains accurate financial records and files. Analyzes business performance against budget and goals. Monitors and controls funds of all daily parish departments and organizations. Assists the Pastor as needed in the management of all parish programs Evaluate parish programs with the professional staff as directed by Pastor. Oversees the preparation of the annual budget and reviews in collaboration with Pastor and Finance Council. Oversees all bookkeeping duties which include but are not limited to: a. Ensure that all parish bills and invoices are paid timely and accurately. b. Ensure all parish taxes, fees and insurance and ensures all federal and state regulations are followed c. Ensure correct benefits are deducted from each employee and the amount owed to third parties are withdrawn from Parish account. d. Ensure provides accurate and timely financial reports, consults with and advises the Pastor and Finance Council and surfaces any financial concerns as soon as they become apparent. e. Oversee parish banking and reconcile all funding sources and bank accounts. f. Oversees counting and deposit of all parish funds. g. Oversees all other bookkeeping responsibilities. Ensures effective communication of all parish events and notices; coordinate a comprehensive, strategic, integrated communications strategy to include the parish bulletin, announcements at Mass, signs and banners, parish web pages and social media platforms. Provides business strategies for Pastor and applicable committee usage. Serves as liaison between the Parish and Diocese in financial and administrative matters. Attends diocesan meetings as necessary, representing the Parish and the Pastor. Assists Parish Finance Council and Pastoral Advisory Committees/Councils in promoting financial stewardship in the Parish, including providing transparent reporting systems that foster trust in the parish community. Represents the parish to financial institutions, vendors and governmental authorities. Participates in all parish staff meetings and Finance Council meetings as required. Maintains good working relationships and effective communications between the parish and various outside groups. Assist and creates Collection Forms in the Credit Card Platform and the Donation Platform to collect money for Faith Formation Programs and other parish ministries. PARISH PHYSICAL RESOURCES Oversees and coordinates procurement and maintains accountability of capital equipment with the facilities staff. PARISH HUMAN RESOURCES Serves as the parish representative to the Archdiocese Human Resources Office and is responsible for ensuring appropriate human resources practices are in place. Provides Human Resources support at the local level in conjunction with the Archdiocese of San Antonio Human Resources Office, oversees payroll, benefits, and reporting functions; ensures the parish is compliant with all payroll tax and insurance responsibilities. Ensures job descriptions, reporting relationships and salary structure are accurate and up to date; administers salaries and benefits programs for all parish employees in alignment with Diocesan guidelines, plans, and programs. In collaboration with the Pastor, develops and implements parish policies. Coordinates and tracks time off for all staff. Advises Pastor regarding pay rates, wage increases, and cost of living increases each year. Develop and implement a comprehensive staff training program including but not limited to: disaster preparedness, employee safety, job-specific requirements, Safe Environment, and operational processes Establishes and maintains evaluation process in compliance with Diocesan norms. RENTAL AND FACILITES: Coordinates with Risk Management for proper Agreement phrasing for renting of facilities and in accordance with local laws and regulations. Monitor Rental Agreements and ensures collection of balances owed. Manage the agreement and invoicing program to align with the accounting structure. SUPERVISORY: Coordinate the recruiting, hiring and termination of Church employees with Pastor approval. Supervise Parish Administration Staff and cares for all personnel related matters, in consultation with Human Resources. OTHER: Supports and upholds the philosophy of Catholicism and the mission of the parish. Must take opportunities offered to further own Faith Formation. Have self-knowledge and ability to share the Catholic faith. Adherence to the Code of Conduct and the Faith and Moral Policy is mandatory. Adhering to safety training and protocols and taking precautionary measure to ensure the safety and well-being of self, others. Responsible for protecting the confidentiality of any information or material obtained in the service to the parish. Every employee is required to take a solution-oriented approach in their interactions and undertakings, as well as being a team member that promotes collaboration and commitment to the Mission and Vision of the organization. Performs other duties as assigned. Minimum Qualifications to include Knowledge and Skills: QUALIFICATIONS: Bachelor’s degree in business management, preferred Accounting or Finance Major 5-6 years of demonstrated Business Management and supervisory experience. Strong Knowledge of accounting principles, and practices Proficient with Microsoft Office, Word, Excel, Demonstrated experience with financial/accounting programs such as Paylocity, Donor Platforms, and experience with ParishSoft or other accounting software preferred Demonstrated ability to prioritize and organize work effectively Demonstrated ability to communication with all levels of Management and staff, including oral presentation and business writing. Demonstrated ability to compose correspondence and reports Demonstrated ability to maintain high level of confidentiality Must have a valid driver’s license and the ability to travel as required. Experience Working knowledge of computer, copy machine, printer/fax/scanner, business phone system, and other office equipment. Knowledge, Skills, and Abilities Maintain sensitive information confidential. Bilingual (English/Spanish) (preferred) Proven intermediate level of proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook). Excellent attention to detail and organizational skills. Strong written and verbal communication skills. Ability to handle sensitive information with integrity and discretion. Must have good critical thinking and problem-solving skills.
