POSITION SUMMARY

The Business Office Assistant works directly under the Business Office Manager to maintain accurate financial records for the facility. The primary responsibilities are handling the Residential Funds Management System, relaying calls from the main line, processing mail, bank deposits, withdrawals, reconciliation, and acting as a support to the administrative staff. This position is responsible for all RFMS-related transactions and the submission of accurate monthly financial reports.

  • Resident Funds Management: Maintains accurate daily logs of resident withdrawals, saves and signs receipts, balances trust accounts daily, and pays residents’ personal bills.
  • Professionalism and Resident Relations: Maintains a courteous demeanor with residents at all times and ensures resident confidentiality and privacy of healthcare data.
  • Receptionist Duties: Sorts incoming mail, handles outgoing mail, answers and transfers phone calls appropriately, and maintains an organized and professional workspace.
  • Policy Knowledge and Application: Possesses a strong understanding of company employment policies and ensures their consistent application.
  • Collaboration and Support: Works with the Business Office Manager (BOM) to print accurate checks and provides general administrative support.
  • Workplace Culture and Compliance: Promotes a positive, inclusive work environment, adheres to the Residents’ Bill of Rights, and fosters a customer-service-centered atmosphere.

QUALIFICATIONS

  • Must have at least a High School Diploma.
  • Must have the ability to communicate, take direction, and maintain an organized workspace
  • Prior administrative experience of at least one year.
  • Experience with Health insurance, Medicare, and Medicaid preferred
  • Experience in healthcare, skilled nursing facility, or assisted living community
