GENERAL DESCRIPTION

Under the general direction of the Senior Manager of Operations Support, the Business Office Manager manages various department functions supporting the Vice President (VP), Directors, and Senior Managers in Operations Department. The Business Office Manager also provides administrative support for the VP and Directors. They are responsible for the overall effective administration of the VP’s office and its interactions with internal and external stakeholders. This role requires a hands-on, proactive professional approach to creating and delivering the day-to-day administrative and office management services for Operations.

QUALIFICATIONS (EDUCATION, EXPERIENCE, LICENSES & CERTIFICATIONS)

  • Associate’s Degree in Aviation Management, Business Management, Public Administration, or a related field.
  • Four (4) years experience in administrative office management.
  • Or equivalent combination of education, training, and experience.
  • Must possess a valid Florida Driver License.

PREFERRED QUALIFICATIONS

  • Experience with expense reporting software.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge, skill, and ability in office management practices, current office technology, and related computer programs, including but not limited to Microsoft Office.
  • Knowledge of executive administration, such as word processing, managing files and records, transcription, designing forms, and other related procedures.
  • Ability to use discretion and independent judgment in evaluating information.
  • Ability to communicate effectively orally and in writing.
  • Ability to establish and maintain effective working relationships with others within and outside the Authority.
  • Ability to handle restricted, sensitive, and confidential information.
  • Ability to provide outstanding customer service, serve the public, and represent the Authority with courtesy and professionalism.

Responsibilities
  • Independently performs a wide variety of office management and project-focused responsibilities supporting the Operations department leadership.
  • Acts as liaison between Operations and other departments, including, but not limited to, the Finance, Procurement, and Real Estate departments.
  • Aids in creating, updating, and implementing procedures within the Operations.
  • Manages and coordinates the maintenance of operational manuals and related documents.
  • Administers the Authority’s Voluntary Noise Abatement Program, handling resident complaints and deviations, liaising with Federal Aviation Administration (FAA), and aiding in presentations and communication.
  • Supports procurement activities within Operations.
  • Secures and monitors sensitive records, maintaining confidentiality and compliance with relevant regulations.
  • Acts as a subject matter expert for departmental software tools, ensuring effective utilization for operational efficiency.
  • Monitors the department budget closely, collaborating with the VP and Directors to prepare financial updates and reports.
  • Coordinates budget meetings and serves as the liaison between the department and Finance for budgeting processes.
  • Assists Aircraft Rescue and Firefighting (ARFF) with requisitions and other necessities.
  • Coordinates events when required.
  • Manages directed projects, initiatives, and operational plans.
  • Coordinates and maintains Federal Communications Commission (FCC) licenses held by the Authority.
  • Addresses issues raised by airport tenants and the public.
  • Regular and reliable attendance is required as an essential function of the position.
