Description

Responsible for providing administrative, personnel, financial, and operational support to the Athletics Department. Duties include overseeing staff personnel actions and maintaining confidential records; assisting with budgeting, purchasing, payroll, and financial reporting; and coordinating calendars, meetings, and travel for senior athletics staff. The role also manages events and special projects, provides functional guidance to administrative staff, and serves as a liaison between Athletics, other campus units, donors, and external stakeholders.
Essential Functions:
25% Personnel Management: Oversee staff personnel actions, including searches, appointments, renewals, leave requests, and workday actions. Maintain confidential personnel files, serving as the primary hiring process manager for Athletics. Provide functional guidance to departmental administrative staff.
25% Business Operations and Finance: Assist in managing daily business operations, including budgeting, purchasing, payroll, and reconciliation. Enter, analyze, and report data from the University’s HR, financial, and grant systems. Prepare financial reports and track accounts, including cash/credit card deposits. Prepare purchase orders, requisitions and reconcile expense reports. Provide functional guidance to departmental administrative staff.
20% Administrative Support: Maintain calendars, schedule and organize meetings, prepare agendas and correspondence, and coordinate travel arrangements. Ensure the senior athletics staff is aware of key deadlines and issues. Manage office schedules, conference rooms, and student assistant scheduling.
15% Events and Special Projects: Plan and coordinate events, programs, and special projects. Serve as a liaison between athletics and external stakeholders, as well as between the Athletics Department and the university community. Provide administrative support to Athletics department personnel as needed.
15% Communication and Liaison: Act as a liaison between the senior athletics staff and departments, other campus units, donors, and external stakeholders. Respond to inquiries from faculty, staff, students, and the public.

Education:
Requires a relevant Bachelor’s Degree.
Experience:
Requires a minimum of 4 or more years of progressively responsible work experience with complex administrative, operational management, personnel or financial functions in a complex organization such as education, legal, corporate, or nonprofit setting. Strong organizational and project management skills with the ability to manage multiple priorities and meet deadlines. Excellent communication and interpersonal skills; ability to work effectively with diverse groups of faculty, staff, students, donors, and external stakeholders. High level of discretion and judgment in handling confidential personnel and financial information. Proficiency with office productivity software (e.g., Microsoft Office) and enterprise systems for HR, finance, or data management. Ability to anticipate needs, problem-solve independently, and support leadership in strategic and operational initiatives. Demonstrated ability to provide functional guidance and support to other administrative staff.
