About the Role We’re looking for a motivated, detail-oriented Business Operations Manager to join aiOla and play a central role in driving operational excellence across the company. This role works directly with multiple teams — including Finance, Legal, Sales, HR, and the Executive team — to ensure smooth execution, alignment, and continuous improvement. This is a unique opportunity to gain broad exposure to the business side of a scaling AI startup and make a real impact. Requirements Bachelor’s degree in Business Administration, Economics, Industrial Engineering, or related field. 4+ years of experience in Business Operations in B2B companies (startup/tech advantage). Not afraid to work directly with C-levels, Board members, and shareholders — confident communicator with high professionalism. Willingness to be hands-on with finance administration, including invoices, AP/AR, budget tracking, and vendor management. Strong experience in Finance Operations — budgeting, expense monitoring, and procurement. Experience in Legal Operations — contracts, coordination with legal counsel, and supporting legal workflows. Advantage: experience supporting fundraising legal processes (investor onboarding, subscription docs, joinders). Advantage: prior experience managing Board and shareholder communications, resolutions, and approval processes. Strong analytical and problem-solving skills with exceptional attention to detail. Excellent organizational and communication skills; able to keep multiple stakeholders aligned. High proficiency in Excel/Google Sheets; experience with HubSpot or Apollo is a plus. Ability to thrive in a fast-paced, dynamic environment. A proactive, ownership-driven, “can-do” attitude with curiosity and willingness to learn. Responsibilities Support planning and execution of cross-company operational initiatives. Define, implement, and monitor business processes and KPIs. Prepare reports, dashboards, and presentations for management and leadership. Lead and support budget planning cycles (annual and quarterly). Monitor expenses and burn, ensuring accurate tracking across teams and work closely with the Finance team on budget vs. actuals, reports, and reconciliations. Serve as the primary operational point of contact for external legal counsel. Manage and prioritize customer and vendor contracts, including MSAs, service agreements, NDAs, and renewals. Work directly with Board members and shareholders, managing resolutions, DocuSign flows, approvals, and sensitive communications. Coordinate between departments to ensure alignment and smooth communication. Manage day-to-day office operations and maintain an effective work environment. Assist Sales Operations — track leads, prepare reports, and support GTM coordination. Improve and maintain internal documentation and workflows. Support HR processes (recruitment logistics, employee experience, onboarding). Participate in ad-hoc projects and translate business needs into actionable plans.
