About the role The Business Operations Manager serves as a trusted partner to the Chief Executive Officer, overseeing the day-to-day operations of the company's real estate portfolio and ensuring the seamless execution of business initiatives across multiple entities. This role acts as an extension of the CEO, serving as a liaison with vendors, contractors, tenants, property managers, legal counsel, and other external partners while proactively identifying and resolving operational issues. What you'll do Real Estate Portfolio Management Oversee the day-to-day operational management of the company's residential, commercial, and investment properties. Ensure all properties are properly maintained, compliant, secure, and operating efficiently. Coordinate property inspections and proactively identify maintenance, safety, and capital improvement needs. Manage relationships with vendors, contractors, service providers, and maintenance personnel. Monitor vendor performance, contracts, and ensure services are delivered on time and within budget. Track property-related expenses, budgets, warranties, maintenance schedules, permits, and service agreements. Coordinate insurance claims, property documentation, licensing, and regulatory compliance as needed. Assist with acquisitions, dispositions, renovations, and capital improvement projects. Business Operations & Executive Support Serve as the CEO's operational proxy by representing leadership in meetings, vendor discussions, and project coordination. Act as the primary liaison between the CEO and internal or external stakeholders to facilitate communication and ensure timely follow-through. Anticipate operational needs and proactively resolve issues before they escalate. Manage special projects and strategic initiatives from planning through completion. Develop project plans, timelines, budgets, and accountability measures while ensuring deadlines are achieved. Prepare executive reports, dashboards, presentations, and operational analyses for leadership. Coordinate cross-functional initiatives across multiple affiliated entities. Establish and improve operational processes, systems, and workflows to increase efficiency and scalability. Vendor & Stakeholder Management Develop and maintain strong relationships with contractors, vendors, consultants, legal counsel, financial professionals, and other business partners. Solicit bids, evaluate proposals, negotiate pricing, and manage vendor performance. Ensure contractual obligations, insurance requirements, and service expectations are met. Coordinate emergency repairs and respond to urgent operational issues as needed. Project Management Lead construction, renovation, relocation, and property improvement projects. Coordinate project schedules, budgets, permits, inspections, and contractor activities. Monitor progress and communicate status updates to executive leadership. Identify risks, recommend solutions, and ensure projects remain on schedule and within budget. Operational Excellence Develop, document, and implement operational policies, procedures, and best practices. Identify opportunities to improve operational efficiency and reduce costs. Maintain accurate records for properties, vendors, contracts, and operational activities. Ensure confidentiality while handling sensitive business and financial information. Perform additional strategic projects and responsibilities as assigned by the CEO. Qualifications Bachelor's degree in Business Administration, Real Estate, Operations Management, Finance, or a related field, or equivalent professional experience. 5+ years of progressively responsible experience in business operations, executive support, real estate operations, property or project management, or a related field. 5+ years of experience managing multiple projects and competing priorities simultaneously. 3+ years experience with vendor management experience. 3+ years experience using Microsoft Office Suite and Google Workspace. Valid driver's license and reliable transportation.
