Description:

The Business Process Manager is responsible for planning, streamlining, and executing project workflows and procedures. Position oversees the activities of the Project Coordinator Team and works with the Team to ensure projects are created, applicable procurement steps are recorded, and projects are invoiced timely to the end customer(s). The role will also be responsible for implementing team resources, assessing personnel performance, providing guidance, and implementing process changes to enhance overall efficiency of the business unit. Additionally, this individual develops procedures, develops and tracks KPIs for the Team, manages process changes within the group and assists management with updates to the organization’s ERP system.

QUALIFICATIONS:

Proficient in Microsoft Excel, PowerPoint, Word, and Outlook.
Knowledge of general business software and Enterprise Resource Planning systems.
Bachelor’s degree in supply chain, business administration, finance, or related field

Responsibilities:

Lead the Project Coordinator Team by keeping the workplace organized and efficient. Adopting operational plans, carrying out performance evaluations, and supervising all daily activities, role strives to keep the business productive, efficient, and organized.
Recruit and onboard high-quality personnel that can advance business unit goals
Assess Team performance to identify opportunities for coaching and guidance.
Oversees and schedules regular Team meetings to monitor goals and deliverables.
Improve customer experience. Requires strong interpersonal and communication skills to build and maintain relationships with Customers. They should be able to understand client requirements, manage expectations, and ensure client satisfaction throughout the service delivery process.
Establishes procedures for examining and resolving disputes or inaccuracies.
Collaborate with cross-functional teams. Collaborates with sales and operations to validate customer rates, proposals, and other special customer requirements.
Ensures accurate information is received from the sales and operations teams.
Monitor and analyze process performance metrics. To measure the effectiveness of processes, the Business Process Manager will use various performance metrics such as cycle time, error rates, and customer satisfaction. They will continuously monitor these metrics and use the data to make informed decisions about process improvements.
Ensures timely processing of work order transactions, purchase orders, accurate billing based on contracted customer rates, and timely delivery of invoices to customers.
Assists in monitoring the organization’s ERP work orders, purchase orders, and billing generation systems/processes and in identifying areas that can be streamlined.
Conducts audits of current procedures and processes to identify areas for improvement and implements necessary actions.
Driving process standardization and compliance. Develops and implements written policies and procedures for work order creation and customer billing.
Ensures quality training is provided to existing and new project coordinators by effectively coordinating the training process and adhering to established company policies and procedures.
Keeps application users informed about system functionality and upcoming enhancements.
Documents business processes to enhance internal controls.
Lead process improvement initiatives. Assists management and third-party programmers with updating the work order/billing system and developing technical documentation.
Completes special projects and assignments as requested.
