Position Summary The Business Services Coordinator is responsible for providing administrative support to the Business Services team and ensuring smooth day-to-day operations of the Client Reception areas, while maintaining a highly professional image of King & Wood Mallesons to employees, clients, suppliers and all visitors. Key Accountabilities Administrative support Check and submit invoices for approval as necessary. Manage all administrative work for company car, including renewal of insurance etc. Manage company car bookings and coordinate with bookings with secretary and driver. To perform other ad hoc duties and projects as requested by the supervisor/manager Reception support Greet all staff and visitors to the office in a courteous and professional manner. Direct all staff and visitors to the appropriate meeting room. Answer calls to the reception, screen and direct calls, take messages as appropriate and ensure that these messages quickly reach the person for whom they are intended. Ensure the reception area is always clean and in a presentable manner. Arrange flowers at the reception and re-order as necessary. Assign and reserve appropriate meeting room through Trimble or any other systems based on request and send out confirmation on a timely basis. Work with Business Services staff to ensure the conference rooms are tidy after use and ready for the next booking. Issue access passes when required and prevent any authorized access to the Office. Report any suspicious persons to the supervisor or manager. Liaise with building management as needed, for any air-conditioning adjustment in the Office. Knowledge Customer service principles and practice Process and delivery management, a commitment to the delivery of quality services in a timely manner Intermediate Word and Excel knowledge or higher Knowledge of administrative procedures Skills and Abilities Fluent Cantonese, Mandarin and English Quality driven, service oriented and client focused Excellent written and oral communication Approachable and personable Ability to communicate in an effective manner with colleagues and clients (both verbal and written) Ability to prioritise tasks and meet deadlines Ability to work unsupervised and manage own work
