COMPETENCE & QUALIFICATIONS:

Confident and professional in conducting receptionist duties and customer support enquiries.
Including answering incoming calls, greeting visitors to reception etc.

Previous administrative experience is essential.

  • Ability to use the Microsoft Office suite
  • Health and Safety awareness (Risk Assessments, Safe systems of work, Health and Safety at work act)
  • Previous engineering office experience (desirable)
  • Facility Management experience (desirable)
Responsibilities
  • Provide administrative support to the DIA staff, including those based at other offices, as required.
  • To answer all incoming switchboard telephone calls in a professional manner.
  • To greet visitors to reception and extend appropriate courteousness.
  • To maintain photocopier, printer and franking machine supplies, including maintenance, meter readings, printer cartridges etc.
  • To ensure provision of refreshments and groceries are supplied as require.
  • To maintain the office stationery stocks as appropriate.
  • Monitoring and checking the lone worker system and providing a weekly report to the Health and Safety Manager.
  • Making Travel arrangements for staff, as required.
  • Management and administration of all support and logistical services to all offices.
  • Receiving post and arranging couriers.
  • Preparing promotional and training material.
  • Support for bidding work.
  • Administrative support to the company management team including various monthly reports.
  • Book training for all staff as required ands issue weekly and monthly reports
  • Maintaining vehicle database for insurance purposes and vehicle mileage sheets
  • Manage lifejacket servicing and PPE stock.
  • Support induction of new staff.
  • Facilities management for all DIA offices.
  • Update project tracking system Project Sheets and update contractor timesheets.
  • Dealing with telephone, web based, e-mail, enquiries received into the business. This often involves understanding engineering principles, the interpretation of drainage/ site drawings and data, relevant guidelines and legislation, the clients’ specific requirements.
  • To perform duties in accordance with all relevant legislation in particular the Health and Safety at Work Act and apply the requirements of ISO 45001.
  • To apply requirements of BS EN ISO 9001 and 14001 as appropriate within the areas of responsibility.
  • Other duties which the company may reasonably require the individual to undertake.
