KEY EXPERIENCE REQUIRED:

  • 2 years+ experience in a similar admin role

ABOUT THE ROLE

Knight Frank is looking to hire a Business Support Coordinator to join our Ascot & Esher Lettings team.

ROLE:

The Business Support Coordinator will play a crucial role in maintaining efficient office operations and supporting the two teams to deliver exceptional service. The role requires clear communication, collaboration, and a positive attitude towards change, embodying Knight Frank’s values and passion for property.

RESPONSIBILITIES:

  • Assist with answering incoming calls, champion the customer experience, and post good news stories on Yammer.
  • Create and maintain new property activity records, ensuring all information is up-to-date.
  • Order and process land registry title checks for new properties.
  • Update records with information from market appraisal checklists.
  • Create and manage template letters and forms, including marketing recommendations and terms and conditions.
  • Ensure hub records are accurate and maintained, including updating pre-appraisal information.
  • Assist in the KYC/CDD process for clients and counterparties and collect necessary documents prior to marketing.
  • Ensure compliance with best practices and correct naming conventions on all property files.
  • Organize and maintain G:drive and prepare reports for weekly/monthly meetings and ad hoc requirements.
  • Code office invoices, create purchase orders, and process goods receipts accurately.
  • Monitor management reporting tools like Working Life & Power BI, ensuring compliance with clear desk, storage, and GDPR protocols.
  • Manage new starters’ induction, onboarding, and leavers’ processes, including ordering equipment and setting up logins.
  • Support the team with training, holiday/sickness records, expense submissions, and ensuring adequate office cover.
  • Arrange and manage property listings, descriptions, EPCs, photos, and floorplans, updating as necessary.Organize local office events, create marketing assets, adhere to marketing deadlines, and ensure the office adheres to central guidelines.
