Responsibilities

ABOUT THE ROLE

The role of Business Support Coordinator will oversee the day-to-day operations of the Deputy Secretary office as well as the People Services senior leadership team and provide exceptional business support. The role includes office management responsibilities, diary management, stakeholder liaison, quality assurance of incoming and outgoing briefs and communications, using contemporary systems and processes.

Some of your duties will include:

  • Provision of high-quality, confidential administrative support to the Deputy Secretary and senior leaders in the People Services team, including email and meeting management, stakeholder liaison, preparation, coordination and distribution of papers, minute taking and coordination of actions, manage and organise events, conferences, visits, travel arrangements and meetings as required.
  • Supporting the Senior Strategic Adviser, provide high-quality assurance and review of incoming briefs and correspondence, amending briefs and liaising with business areas as required.
  • Establish and maintain administrative support systems and procedures to ensure the effective operation of the Deputy Secretary and senior leaders in the People Services team.

To be successful in this role, you will have:

  • Demonstrated experience in providing high quality administrative support at the senior management level.
  • Demonstrated ability to analyse issues and determine priorities in an environment of tight and conflicting deadlines, to take initiative and work under limited direction.
  • Demonstrated proficiency in the use of Microsoft applications and Departmental specific software
