    Department of Justice and Community Safety (DJCS) Emergency Management includes the department’s emergency management accountabilities delivered through Emergency Management Victoria, Emergency Recovery Victoria, Sector Performance and Reform and emergency management statutory entities and offices. The work of the group supports the emergency management sector to work together and to strengthen the capacity of individuals, communities, government, agencies and business to achieve our shared vision of safer and more resilient communities and to rebuild and recover after an emergency.

WHAT SKILLS AND KNOWLEDGE SHOULD THE BUSINESS SUPPORT COORDINATOR HAVE?

As our ideal candidate, you will have:

  • Demonstrated experience and advanced skills in Microsoft Office software (i.e. SharePoint, Word, Excel and PowerPoint) with an ability to use electronic document management system (i.e. TRIM).
  • Demonstrated records management knowledge in a government environment is highly desirable.
  • Demonstrated knowledge and experience in generalist workforce and/or human resources transactional functions is highly desirable.
  • Demonstrated experience with government processes, executive and ministerial services and policy development and delivery is highly desirable

Responsibilities

Reporting to the Senior Strategic Advisor to the Deputy Secretary, Emergency Management, the Business Support Coordinator is responsible for providing complex, high quality administrative support to the Office of the Deputy Secretary
The role requires the utmost professionalism and integrity, handling confidential information in a professional manner.

Key duties include:

  • Coordination and preparation of briefings and agendas for weekly Minister meetings.
  • Support policy development and provide authoritative information, analysis and advice on complex issues relating to emergency management outcomes.
  • Provide quality assurance on complex briefings and corporate requests and triage items for the Deputy Secretary’s consideration, ensuring high quality outcomes are achieved within agreed timeframes.
  • Coordinate workforce functions for the Emergency Management Group, including the administration of recruitment approvals, and oversight of establishment data and reporting activities.
  • Prepare comprehensive reports, briefs and correspondence with recommendations on workforce data issues for the Deputy Secretary.
