We are looking for a highly organized and proactive Business Support Coordinator to provide comprehensive administrative and operational support up to 4 Directors / Country Leaders.
Your role is critical in ensuring the smooth operation of the directors’ daily activities and will involve coordinating various, complex, and diverse administrative tasks. You will be working in a dynamic international environment.

REQUIRED KNOWLEDGE AND EXPERIENCE:

  • Proficient Romanian & Fluent English language written and verbal knowledge
  • At least 2 years’ Work experience in administration in a dynamic work environment
  • University degree (preferred Administration, Business management or similar)
  • Excellent organizational and time management skills: attention to detail, ability to prioritize tasks effectively with positive contribution and pro-active approach to new and changing situations
  • Knowledge of Microsoft Office Applications (Word, Excel, Access, PowerPoint, Teams, SharePoint), Outlook (Calendar management)
  • Confident in dealing with senior level staff and ability to communicate in a professional manner
  • An understanding of confidentiality issues and the use of discretion

Responsibilities:

  • Providing comprehensive and high-level administrative and operational support to the Director / Country Leader including managing meeting schedule, preparation of communication, agenda, assist in coordinating and organizing events and meetings
  • Arranging travel arrangements, itineraries and accommodations for the Director / Country Leader and submitting expenses
  • Liaising with vendor creation team and raising payment requisitions for third party suppliers, customers for Director’s related purchases.
  • Organizing and storing paperwork, contracts, documents, computer-based information and handling confidential information with discretion and professionalism
  • Ensuring that all actions, communications, and decisions in Business Support align with company policies and procedures
  • Act as gatekeepers for all company policies and procedures to ensure director and direct teams are always acting in the most compliant manner
  • Budget monitoring, analyze and signal anomalies and expenses management
