Ontic, a leading licensor and manufacturer of complex engineering parts for the global aerospace and defence industries, are now recruiting for an Business Support Coordinator, known internally as an IT Coordinator to join our team. This role will primarily be based at our Staverton site, with occasional travel to support our other sites in Bishops Cleeve & Tewksbury.

Job Purpose:
The coordinator will provide high-level administrative and organisational support to the IT Leadership Team. This role involves managing schedules, coordinating meetings and travel, supporting communication efforts, and assisting with general planning and follow-up on leadership initiatives. The ideal candidate will be proactive, detail-oriented, and able to manage multiple priorities in a dynamic environment.
Key Duties and Responsibilities

Administrative Support:

• Manage complex calendars, schedule meetings, and coordinate appointments for IT Leadership.
• Organise and prepare materials for leadership meetings, including agendas, minutes, and action items.
• Support planning and logistics for team events, workshops, and off-site meetings.
• Assist in maintaining documentation and records relevant to leadership initiatives and team projects.

Communication & Coordination:

• Act as a central point of contact between the leadership team and other departments or external partners.
• Draft internal communications, summaries, and memos as directed by the leadership team.
• Track deadlines, follow-ups, and outstanding actions across multiple initiatives.

Planning & Organization:

• Support leadership in preparing presentations, reports, and executive-level summaries.
• Coordinate team-level activities, onboarding plans, and cross-functional collaborations.
• Maintain oversight of leadership priorities and help ensure effective time management.

Stakeholder Engagement:

• Liaise with external partners, suppliers, or consultants on behalf of the leadership team.
• Assist in coordinating documentation, renewals, and general correspondence related to vendors or external engagements.
• Ensure professional and timely communication with internal and external stakeholders.

Requirements

• Minimum 2 years of experience in an administrative, coordinator, or executive support role.
• High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational, time-management, and multitasking abilities.
• Excellent verbal and written communication skills.
• Ability to handle confidential and sensitive information with discretion.
• Confident working independently and taking initiative when needed.
• Detail-oriented and capable of managing competing priorities in a fast-paced environment.
• Comfortable interacting with senior leaders and cross-functional teams.
