Reporting to the Country Manager, we are seeking an exceptionally highly organised and experienced -Business Support Executive. with Office Management to join our organisation.

QUALIFICATIONS:

· Intermediate to advance in MS Office (Excel, Word, MS PowerPoint and Outlook). Outlook
· Business administration qualification desirable

ESSENTIAL SKILLS AND EXPERIENCE:

· Must have clean full GB Driving Licence.
· You have a proven track record as a Business Support Executive, Senior Management Support and your experience equips you to manage senior level stakeholders effortlessly.
· You possess exceptional organisational and prioritisation skills, support to keep projects on track assisting in keeping track of these.
· You understand the importance of confidentiality, data protection and integrity, always handling sensitive information with discretion.
· Excellent organisational and time-management skills.
· Strong written and verbal communication skills, both for an internal and external audience.
· Proven experience as a Business Support Executive at a Senior Management Level.
· Ability to multitask and prioritise tasks effectively.
· Absolute Discretion and confidentiality.
· Ability to work independently and as part of a team.

Responsibilities

ROLE AND RESPONSIBILITIES:

· Diary and Schedule Management: Oversee the CM’s calendars, diary, coordinating appointments, meetings, and events to maximise productivity and operational hours
· Act as the first point of contact for the CM, handling and drafting correspondences, calls, emails and letters with professionalism and discretion. Attention to detail is key.
· Prepare and maintain the file management of expenses.
· Support organisational projects by tracking deadlines, deliverables, and priorities.
· Organise meetings, agendas, take minutes, and distribution of these including follow up on action points.
· Support, plan, coordinate complex travel arrangements and book all corporate travel, accommodation, and provide detailed itineraries
· Build strong professional relationships with internal and external stakeholders, ensuring smooth communication and alignment with CM’s priorities.
· Deliver high-level support with a calm nature and balance ease of urgency when needed.
· Maintain the CM’s inbox, organised by highlighting, helping to support streamline decision-making.
· Support the CM with professional and business-related media activity, including drafting, scheduling, and posting content on platforms such as LinkedIn Monitor engagement and highlight relevant interactions or messages to the CM
· Play a key role in preparing Board/Financial reports and support major events, all whilst demonstrating the highest standards of service and responsiveness.
· Proactively identify opportunities for business administrative improvements, ensuring a lean (where possible) efficient and effective office environment.
· Greet and meet of planned customer /client visitors
· As and when required travel to other Rhenus UK sites
· Assistant in organising team and company events
· Will be required to provide PA cover to MD during holidays and other key periods

DUTIES

  • Perform data entry tasks with accuracy and efficiency.
  • Manage incoming phone calls with excellent phone etiquette, directing calls as necessary.
  • Assist in maintaining office organisation and cleanliness.
  • Provide clerical support including filing, photocopying, and scanning documents.
  • Utilise QuickBooks for basic accounting tasks and financial record-keeping.
  • Proficiently use Google Suite applications for document creation, spreadsheets, and presentations.
  • Support team members with administrative tasks as required, ensuring deadlines are met.
  • Collaborate with other departments to facilitate effective communication and workflow.
