ABOUT US:

The Department of Justice and Community Safety provides compliance, enforcement, and regulatory services to the Victorian Community. The West Area, comprised of the Barwon South West and Grampians Regions, delivers a wide range of Justice services operating across central locations in Geelong and Warrnambool in the Barwon Southwest and Ballarat and Horsham in the Grampians Region as well as a number of satellite locations.

Responsibilities

ABOUT THE ROLE:

Reporting to the Manager, Finance and Risk, the role is responsible for providing administrative support functions for the Area’s financial and risk management functions. These include support functions associated with purchasing and procurement, asset management, budgeting and general financial management, business continuity planning, occupational health and safety, risk, and emergency management.
Work location is flexible within West Area and can be based either in Geelong (Barwon South West) or in Ballarat (Grampians).

Some of your other duties will include:

  • Under direction, collect statistical information, analyse, prepare reports, obtain quotes, and prepare estimates for works and services.
  • Under direction, assist with the process of monthly, periodical, and annual financial processes including journals, adjustments, and BUFI stocktakes.
  • Coordinating meetings and stakeholder engagement activities, including scheduling, agendas, and minutes.

To be successful in this role you will be able to demonstrate:

  • Experience of government purchasing processes and procedures, and the use of purchase to payment system Oracle, or similar.
  • Asset management knowledge in a government environment.
  • Experience in Microsoft 365 applications, in particular Excel, Outlook (and group mailboxes), SharePoint and Teams. Experience with electronic document management system TRIM would also be a benefit
