Hybrid work environment Max term contract (12 months) Play an important part shaping the future of our iconic Australian institution About the role We are seeking a highly organised and proactive person to support two Deputy Heads within the Risk Management Department. This role goes beyond traditional administrative support, offering the opportunity to contribute to business operations, stakeholder engagement, and strategic coordination across the division. The ideal candidate will bring a strong understanding of business processes and thrive in a dynamic, fast-paced environment. About the role Executive & Operational Support Manage complex calendars, including scheduling meetings, resolving conflicts, and ensuring optimal time management Monitor and manage inboxes, prioritising emails, drafting responses, and flagging urgent matters Coordinate domestic and international travel arrangements, including flights, accommodation, visas, and itineraries Prepare and process expense reports in a timely and accurate manner Support meeting preparation including agendas, briefing materials, and minutes Liaise with internal and external stakeholders on behalf of the Deputy Heads Assist with project tracking, reporting, and follow-ups, contributing to operational efficiency and delivery Provide support in coordinating divisional initiatives, business reviews, and reporting cycles Administrative & Cross-Functional Coordination Maintain confidentiality and handle sensitive information with discretion Ensure timely submission of approvals, reports, and other documentation Collaborate with teams across Risk and other business units to support cross-functional activities Assist with onboarding of new team members and coordination of team communications Work closely with the Chief Risk Officer’s Executive Assistant and other EAs across the organisation to ensure seamless stakeholder engagement and alignment on priorities About you Proven experience as an Executive Assistant or Business Operations Coordinator supporting senior leaders (5 years+) Strong organisational and time management skills with attention to detail Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools Ability to work independently and collaboratively in a dynamic environment Experience in financial services, risk management, or business operations is highly desirable Be More Working for an organisation that truly makes a difference to the people of Australia, we can offer development and career opportunities in a collaborative environment that supports your growth, wellbeing and promotes flexibility.
