Position Summary
The Business Support Specialtist provides essential administrative and organizational support to ensure the smooth and efficient operation of the office and project teams. This role is responsible for managing daily administrative functions, maintaining accurate records, and serving as a key point of contact for internal staff, clients, and external partners.

QUALIFICATIONS

  • Associate’s or Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Minimum 2–3 years of administrative or office coordination experience; prior experience in construction or professional services is a plus.
  • Strong organizational and time-management skills with attention to detail.
  • Proficiency in Microsoft Office Suite; experience with project management or accounting software is advantageous.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.

Responsibilities
  • Oversee day-to-day office operations, including scheduling, correspondence, answer phones, assist visitors and document management.
  • Prepare and maintain contracts, reports, meeting minutes, and other business documentation.
  • Coordinate with project managers, field staff, and leadership to ensure information flow and task completion.
  • Manage invoices, expense reports, and budget tracking in coordination with accounting.
  • Maintain filing systems, databases, and project management tools with accuracy and confidentiality.
  • Monitor supply levels, vendor contracts, and service agreements to support uninterrupted operations.
  • Provide professional customer service to clients, visitors, and stakeholders.
