The Procurement Expediter compiles and maintains material and parts status from suppliers and subcontractors in an effort to ensure required delivery schedules are achieved. This includes expediting material and updating associated systems with current delivery schedule and communicating with Buyers and Operations status on critical material demands.

MINIMUM QUALIFICATIONS:

• Possess a High School Diploma or equivalent plus five years of clerical experience or an associate degree plus three-year clerical experience.
• Must be able to demonstrate experience using word processing and database management software.
• Must be able to perform a combination of clerical and administrative duties under direct supervision, using communication skills to confer with employees at all levels within the organization, and performing a large volume of work requiring a high degree of accuracy.
• Must be able to obtain and maintain a CBP Background Investigation Suitability clearance. Note: US Citizenship required to obtain clearance.

• Generating reports in information management systems to monitor the status for actual or potential material delivery delays.
• Adjust PO/RO priorities, scope, or other requirements to address potential schedule impact related to supplier deliveries.
• Contact suppliers to review material and service purchase orders to ensure delivery has not slipped or could be delayed.
• Update the estimated delivery date within the purchase order and notify the requestor of the potential schedule impact related to supplier delivery.
• Requesting tracking information for material that has been released by the supplier and update the tracking number within the internal system.
• Advises Operations of inbound material or delivered material needing to be received in the system for accountability purposes.
• Work directly with Accounts Payable to rectify invoices without receipt.
• Employee also works closely with logistics and operations to generate and track Report of Discrepancies (ROD) to ensure the supplier corrects all receiving discrepancies.
• Generate exception reports for supply chain deficiencies.
• Identify alternative supply sources when EDD exceeds acceptable limits.
• Support Procurement with vendor qualification/certification actions.
• Monitor and proactively engage vendors to maintain currency of periodic certifications.
• Review adequacy of information, coordinating with originator or technical specialist to clarify details of the requirement, ensuring all necessary information is included on the PR.
• Maintain direct working relationship with vendors to ensure that supplies and equipment are shipped on the specified date.
• Coordinate with site and warehouse receiving to ensure deliveries are processed and delivered within specified dates.
• Perform all other position related duties as assigned or requested.
