SKILLS & EXPERIENCE REQUIRED

  • Previous experience in a similar administrative role within retail, fashion or eCommerce (internship experience also considered).
  • Strong organisational skills and keen attention to detail.
  • Excellent Excel and Microsoft Office skills – comfortable with data entry, spreadsheets, and reporting.
  • Confident communicator with both internal teams and external suppliers.
  • Proactive and self-motivated, able to manage multiple priorities in a fast-paced environment.
  • A passion for fashion and a strong commercial awareness.

Responsibilities

ROLE OVERVIEW

As the Buying & Merchandising Administrator, you will provide essential administrative support across the buying and merchandising teams. You’ll be instrumental in ensuring products are accurately set up, stock is monitored, deliveries are tracked, and data is maintained to the highest standard. This is a great opportunity for someone looking to grow within the fashion industry and gain hands-on experience in a fast-paced eCommerce environment.

KEY RESPONSIBILITIES

  • Support the Buying and Merchandising teams with all administrative duties.
  • Maintain and update product information, imagery, and descriptions on internal systems and eCommerce platforms.
  • Raise and manage purchase orders, ensuring accuracy of product details, pricing, and delivery dates.
  • Liaise with suppliers to track samples, orders, and deliveries.
  • Monitor stock levels and assist in replenishment decisions based on sales performance and forecasts.
  • Prepare sales and stock reports to support trading meetings and decision-making.
  • Assist with intake management, chasing late deliveries and managing critical paths.
  • Support with colour management system and filing of lab dips and production fabrics.
  • Communicate cross-functionally with teams such as warehouse, marketing, and e-com to ensure smooth product launches.
  • Assist with competitor and market research to support buying decisions.
  • Support ad hoc tasks and projects as required by the team.
