Position Summary
The Student Experience & Events Coordinator is responsible for organizing and executing events that enhance brand awareness, student engagement, and alumni relations. The role supports various initiatives, including student activities, alumni engagement, external partnerships, and recruitment events. Reporting directly to the Campus Director and working closely with the Marketing and Student Services teams, the coordinator ensures that events align with institutional objectives and branding guidelines while adhering to budgets and timelines. The role requires occasional evening and weekend work, travel for trade shows, and the ability to manage multiple projects simultaneously.
Key Responsibilities
Event Planning & Coordination
- Develop and implement an annual events calendar considering academic and student services schedules.
- Plan, coordinate, and oversee events for students, alumni, and external stakeholders.
- Execute key student events, including Orientation, Convocation, Portfolio Shows, Fashion Week, and Awards Ceremonies.
- Organize recruitment events such as trade shows, open houses, and high school visits.
- Collaborate with the marketing team to ensure brand consistency in promotions and event materials.
- Manage on-site logistics, troubleshoot issues, and ensure high-quality event execution.
- Maintain and establish partnerships to enhance event offerings and engagement opportunities.
Student Experience & Engagement
- Develop and manage student extracurricular and co-curricular programs that support personal growth and community involvement.
- Lead the planning and execution of student life initiatives, clubs, and leadership programs.
- Provide guidance and support for student well-being, including referrals to wellness resources.
- Coordinate the development and implementation of student engagement strategy.
- Foster relationships with alumni to promote networking and mentorship opportunities.
Administrative & Financial Management
- Oversee project and event budgets, ensuring financial accountability and adherence to allocated funds.
- Prepare contracts, negotiate terms, and coordinate agreements with vendors and external partners.
- Process invoices, track payments, and maintain financial records for reporting and analysis.
- Utilize Clara and CRM tools to generate reports and analyze campaign outcomes.
- Monitor and handle procurement processes, including managing quotes, purchase orders, and marketing materials.
- Maintain accurate records of expenditures and analyze financial data to optimize event planning.

Qualifications & Skills
Education & Experience
- Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
- 3 to 5 years of experience in event planning, student services, marketing, or a similar role.
- Experience in higher education, alumni relations, or external partnerships is an asset.
- Proficiency in CRM systems and social media platforms.
