Responsibilities

ABOUT THE ROLE

We’re looking for a highly organized, detail-oriented professional to support our Capital and Construction team. Reporting to the Supervising Engineer, you’ll play a key role in ensuring projects run smoothly by providing vital administrative, clerical, and accounting support.

WHAT YOU’LL DO

  • Prepare and post accounting entries for project transfers and end-of-month entries.
  • Generate monthly reports in coordination with the Supervising Engineer.
  • Track outstanding accounts and highlight delayed payments for necessary action.
  • Document and maintain minutes of meetings, including summaries of pending tasks.
  • Monitor group communications and ensure the appropriate personnel address requests.
  • Manage bi-weekly time entries for the Engineering Department.
  • Process purchase requests and liaise with the Purchasing department for order completion.
  • Keep track of active and archived purchase orders, maintaining digital records.
  • Prepare tender documentation and ensure timely receipt of tenders.
  • Keep digital records on contractors, including safety qualifications, labor competency, and equipment details.
  • Review contractor invoices for consistency with rates and purchase/tender documents, communicating with contractors as necessary.
  • Assist Project Leaders throughout the work order process, from initiation to completion.
  • Track customer contributions and follow up with letters or calls as needed.
  • Provide financial data support, analyzing work order files.
  • Monitor Key Performance Indicators for the Engineering group.
  • Support regulatory requirements, such as the General Rate Application, upon request.
  • Collaborate with Financial Services on capital work matters.
  • Handle telephone reception for the Service Complex, managing calls and messages.
  • Undertake other relevant tasks as needed.
