Job Title: Care and Support Administrator
Reporting to: Registered Manager
Responsible for: No direct reports
Job Purpose: This role plays a vital part in the administration and effective running of the charity and requires both excellent administration and communication skills.
Principal Objectives: Provide administrative support to the Registered Manager over a range of tasks including record keeping, communication, supporting staff and teams across Camphill.

· Undertake general administration tasks for the Registered Manager (RM) and support for the wider administration work of the charity, including dealing with telephone and email enquiries
· Attend meetings, taking minutes and keeping notes in connection with the work of the charity
· Administrative support around project delivery working alongside the RM to deliver actions and improvements across all the homes
· Supporting the organisation and staff teams with care and support software administration
· Arrange and keep records of all staff training, including in-house, eLearning platform and external, and liaise with senior managers to ensure all required learning and development is reflected within the Workforce Development Plan
· Connect with the Apprenticeship Service account, engage with training providers, reserve funding and complete applications in a timely manner, ensure leaver administration is carried out in a timely manner to prevent financial charges
· Administrative support to ensure the home remains compliant within CQC and local authority frameworks, supporting administratively tasks such as PIR and capacity tracker
· Supporting recruitment (Operational staff) through the management of applications, interviews and onboarding ensuring all administrative tasks including DBS and right to work checks are completed in accordance with safer recruitment. Inducting staff through the administrative procedures within Camphill. Maintain ‘hours budget’ templates for Operations teams.
· Provide minute taking for home managers and the RM when working through investigations and disciplinary procedures
· Producing reports and KPI’s from the processing of information made available around items such as training, supervision and retention.
· Managing benefit applications and communication for the People we Support communicating with the DWP as corporate appointee.
· Providing administrative support of deprivation of liberty safeguards (DoLS) applications
· Tracking compliance across our homes in regard to health and safety
· Providing administrative support for quality assurance across our site.
· Provide minute taking for various meetings such as MTM and staff meetings across the site
· Use a variety of software packages, such as Microsoft Excel, Word, Outlook, PowerPoint, Visio, Adobe Pro, etc., to produce correspondence, mail merges and documents and maintain presentations, records, spreadsheets and databases connected to specific projects
· Induct new staff (Operational) in administrative procedures
· Maintain relationships with Vocal Advocacy regarding Circle Meetings and People we Support having a voice regarding their care and support
· Devise and maintain office systems to support the work of the RM as well as the wider administration work of the charity
· Liaise with staff at CDC and with external contacts (e.g. health and social care agencies)
· Responsible Person (RP) administrative support – obtain RPs preferences and non-availability and create an RP rota as well as ensuring that all RP paperwork is updated as and when required.
· Participate in delivering training as well as developing and delivering ad hoc training programmes as instructed, e.g. IT skills for managers and staff, Data Protection and Security, Safe Surfing.
· Organise and store paperwork, documents, computer-based information and produce working processes that will help to streamline the administration across Camphill Devon Community.
· Compile monthly KPIs supporting performance management, training statistics and learning and development
· Effective communication and liaison with staff, people we support and their families, and with external contacts, attending meetings, as required
· Adopt duties of Referrals Lead and Business Support Coordinator during periods of absence
· Undertake any other reasonable duties as required
Hours: 37.5 per week (Mon-Fri)
