George Fox University’s Career and Academic Planning (CAP) Center seeks an innovative, detail-oriented, and tech-savvy Systems Manager to lead and manage the platforms, data processes, and operational systems that support our academic planning and career development programming.

JOB INFORMATION:

Responsibilities
  • System AdministrationTechnology Oversight (40%)
  • Serving as the primary administrator for the CAP Center’s technology platforms, including Handshake, and supporting integrations with systems such as Slate, Salesforce, Fox360, GradSync and PeopleSoft.
  • Ensuring optimal system performance, data integrity, and user experience across these systems to support both career preparation and academic planning initiatives.
  • Collaborating with IT, Institutional Research, and external vendors to resolve technical issues, maintain data flow, and implement platform enhancements.
  • Providing system training and documentation for CAP Center staff, student workers, and relevant campus partners.
  • Staying current on platform capabilities and recommending technology solutions that align with the CAP Center’s strategic goals.
  • Managing the CAP Center’s communications systems (e.g., email campaigns, notifications, automated workflows) to ensure coordinated, timely, and student-centered outreach.
  • Evaluating, piloting, and implementing innovative systems solutions, including AI-driven tools, that enhance the effectiveness of student outreach, scheduling, career exploration, and academic success.
  • Staying informed of emerging technologies and recommending relevant updates and/or new aligned with evolving student needs and strategic goals.
  • Data ManagementReporting (30%)
  • Overseeing the collection, analysis, and reporting of data related to student engagement, career outcomes, advising appointments, and retention.
  • Building and maintaining data dashboards using information from Handshake, Salesforce, PeopleSoft, and related systems to support decision-making and strategic planning.
  • Ensuring compliance with FERPA and other data governance standards.
  • Translating complex data into actionable insights that support early interventions and programmatic improvements.
  • Using AI-assisted analytics to identify trends in student engagement, career interests, risk indicators, and opportunity areas to enhance support strategies.
  • Operational StrategyProcess Improvement (20%)
  • Improving workflows involving cross-system tasks such as appointment scheduling, student communication, employer tracking, and academic alerts.
  • Partnering with CAP Center staff and university stakeholders to streamline operational processes and aligning systems with institutional priorities.
  • Promoting equitable and accessible technology use for all students, with attention to underrepresented or historically marginalized populations.
  • Leading the development of new workflows and interventions using AI and digital tools to increase personalization and efficiency.
  • Team CollaborationInstitutional Mission (10%)
  • Actively engaging with CAP Center initiatives, team meetings, and service delivery planning.
  • Supporting student-facing programming, including career events, classroom visits, and orientation activities.
  • Serving as a Christian role model and actively contributing to George Fox University’s spiritual and educational mission.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
