This role sits within our Technical Services division working on a prestigious contract to provide M&E services to The Royal Parks in London

Responsibilities

KEY RESPONSIBILITIES:

  • Ensure all Carriageway & Footpath surveys are completed in the month and completed no less than 10 days before month-end.
  • Confirm outstanding surveys and the dates of completion with Facilities Management (FM).
  • Notify the Asset Manager of any potential missed or late surveys.
  • Review monthly reports to identify and uplift all new “priority” B defects in month and share with the TRP management Team and preferred contractor for pricing.
  • Categorise defects into Priority A, B, C, or D, and ensure appropriate action is taken based on the category (immediate repair for Category A, 28 days for Category B, etc.).
  • Prepare formal quotes within 10 working days of receipt from preferred contractors and send reports, including OCS quotations, to TRP for approval.
  • Upon approval, instruct the Help Desk to raise purchase orders for contractors to commence work.
  • Source and share remedial work programs with FM’s and FCM’s & SFCM.
  • Ensure all information is logged accurately in the Carriageway & Footpaths Audit App and OCS Teams Folder.
  • Regularly review and track defects through ongoing surveys to ensure timely follow-up and escalate where necessary.
  • Liaise with the preferred contractor to ensure repairs are scheduled and completed on time (within 28 days for permanent repairs). Share program timelines with all relevant parties, including TRP and FM’s, and update the Carriageway & Footpath group on ClientShare.
  • Maintain accurate records and generate reports on defect status, repair progress, and any issues with completed works.
  • Ensure all reports contain the necessary details, including inspection date, defect type, risk priority, location, and photographs.
  • Maintain clear and comprehensive documentation for future reference and audits.
  • Category A: Ensure immediate action for high-risk defects, including safety measures (e.g., signage, fencing) within 2 hours, and temporary repairs within 24 hours.
  • Category B: Monitor defects and ensure repairs are completed within 28 working days.
