The Case Manager/Operations Coordinator for the San Jose Men’s Program is a key member of our staff providing structure, accountability, stability, and hope for the men in the program. The Case Manager/Operations Coordinator will coach and train Case Managers, Staff, Interns and Volunteers. You will carry the case load in the absence of the Case Manager. This includes but is not limited to intake screenings, supervision, counseling, discipleship, mentoring, administering appropriate disciplinary actions, and completing reports and paperwork. The Case Manager/Operations Coordinator will oversee logistics and be responsible for the day-to-day operations of the Men’s Program. You will be the go-to person residents, volunteers and interns will turn to for any and all issues regarding the Men’s Program. Our ideal candidate will be passionate about God’s transformational love, function well under pressure, and handle conflict and difficult situations with grace. In our ministry, no two days are ever the same, so we are looking for someone who can picot quickly and deal with surprises and unexpected twists in a Christ-like manner. The Case Manager/Operations Coordinator is a temporary full-time non-exempt position wrapped up in a Christian environment that values Teamwork, Accountability, Humility, Innovation, and Joy. ESSENTIAL FUNCTIONS Operations 1. Maintain the scheduling, assignment, and accountability of all facility jobs and chores. 2. Maintain facility upkeep and repairs as needed. 3. Maintain a relationship with vendors and keep accurate records of all purchases and repairs associated with the facility. 4. Oversee donations, including tracking statistics and submitting reports. 5. Establish clear processes and procedures for all building operations. 6. Prepare training materials, set up quality controls, and train clients, interns, volunteers, and staff on all aspects of the ministry. 7. Maintain a sanitized and organized shelter environment that meets or exceeds all public health and fire code requirements. 8. Ensure that all paperwork and invoices are processed in a timely manner according to the guidelines established by the Finance Department. 9. Maintain accurate records of all building repairs that have been ordered or completed. 10. Solicit both participation in and financial support for facility projects as needed. 11. Participate in all staff activities and meetings, as requested. 12. Maintain a clear line of communication with Supervisor and work diligently with other team members to accomplish tasks. 13. Coordinate repairs and maintain service for all fleet vehicles associated with the program, this includes regular maintenance, registration, smog certification, and all DMV related issues. 14. Order and track all supplies needed for facility day to day operations. Ministry Oversee spiritual mentor program which includes recruiting and training spiritual mentors. Manage residents group activity events including graduations Conduct phone screening and intake new applicants as needed. Oversee a team of volunteers to assist in developing action plans and strategies for the Men’s Program. Manage residents’ health and wellness services and drug testing of clients. Manage program data collection, fee collection, and reporting. Manage front desk staffing and protocol. Recruit and coordinate teachers for resident classes. Along with the Program Director, design and implement new activities and classes for residents. Engage with partner organizations to recruit clients and expand services for residents. Manage Santa Clara County HMIS reporting. Provide supervision and accountability for residents in all areas of the program, including general behavior, discipline, passes, job placements, training and evaluations. Work with Support Services to ensure paperwork is completed in a timely manner. Manage multiple projects, prioritize tasks and intelligently delegate. Maintain an environment that is conducive to building trust and unity as well as high motivation and achievement. Advocate for CityTeam with those in your circles of influence. General Case Management Administer needs assessment tools to determine client’s benefit history, current needs, and qualifying data. This includes economic, health, dental, optical, legal, and educational services. Serve as liaison to various vocational rehabilitation services and facilities to insure client’s timely transition into the vocational component of the program. Provide spiritual leadership and counsel to residents including counseling one on one, group counseling, and planning in-house and outside activities. Conduct a series of life skills training classes designed to enhance client’s skill levels in a variety of practical areas (budgeting, parenting, cooking, etc.) Maintain case files, attend, and participate in related staff meetings and client review sessions. Be available to transport clients and/or their children when needed. Provide supervision for residents and supervise discipline in the area of general behavior and program rules. Oversee compliance with overnight and late-night pass when appropriate. Supervise resident’s in-house job placement, training, and performance evaluation. Required Education and Experience AA or equivalent experience Minimum 2-years’ experience working in field of addiction. Training or experience in theology, missions, or counseling Good interpersonal skills, with proven ability to communicate with people from diverse backgrounds. Proven skills in motivating people, setting goals, and commitment to getting the job done well. Good written communication skills, experience writing court reports and or assessments and computer literate with proficient with Microsoft Office Suite Must have a valid California driver’s license with no more than two-points and no DUI related incidents in the past ten years. Preferred Education and Experience CAADAC/CCAPP certification Bilingual language skills (English/Spanish/Vietnamese/Cambodian) Experience and specific course work in the area of chemical addiction, codependency, crisis intervention, and family dynamics Good written communication skills, experience writing court reports and or assessments. Computer literate and proficiency with Microsoft Office Suite Work Conditions This job operates in a professional office environment and residential apartment setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The exact hours will vary depending on ministry scheduling needs.. Travel is primarily local during the business day. Additional Eligibility Qualifications for CityTeam Ministries Must have an intimate, personal relationship with Jesus Christ. Must be active in a local Christian body of believers or at least pursuing community with other Christ-followers.
